The University of Iowa Healthcare Department of Family Medicine is seeking an Academic or Clinical Program Management & Services Associate (Clerkship Program Coordinator) to provide developmental and administrative expertise for the Family Medicine-Psychiatry Residency program, Sports Medicine Fellowship, Medical Education Fellowship, and Physician Assistant Residency post-graduate training programs within the Department of Family Medicine. This position will also serve as liaison and counsel for the residency and fellowship programs at UIHC, VAMC, and off-site locations
Recruit, Admit and Retain Prospective and Current Students for Programs
Represent training programs at all recruitment events.
Coordinate and supervise interview process, including applicant contacts; interviews with faculty, residents, travel and housing of applicants.
Prepare Website for training programs.
Manage Electronic Resident Application System (ERAS), National Resident Matching Program (NRMP) and Interview Broker registration process
Screen applicants interviews and refers ambiguous cases to Program Directors for review.
Review program materials and status of application with applicants
Evaluate applicants as part of the overall evaluation process under the direction of the Program Directors
Provide input and support for NRMP ranking process and NRMP Supplemental Offer and Acceptance Program
Enrollment Management
Review residency and fellowship curriculum requirements and changes with the Program Directors
Prepare materials for residents describing the curriculum requirements and rotation particulars.
Counsel and solicit elective requests from residents in the development of desired rotations.
Prepare yearly rotation schedule for the Program Directors’ review.
Negotiate rotation requests with UIHC service liaisons and off-site locations.
Prepare required ACGME program letter of agreements for off-site rotations.
Manage final rotation schedule throughout the year and facilitate rotation changes as requested.
Coordinate resident schedules with Family Care Center scheduler.
Develop orientation schedule for residents and fellows in cooperation with the Program Directors
Coordinate orientation activities, including personnel, space, supplies and equipment, and all other necessary matters.
Coordinate orientation evaluation and feedback process relating to the orientation experiences.
Manage annual timeline of critical events calendar for each program along with special events and projects
Oversees training verification for program graduates.
Prepare letters of recommendation and reference requests for residents and alumni for the Residency Directors’ review and signature
Correspond with clinical services and departments regarding curricular matters, rotation assignments and changes, and vacations and absences.
Maintain data files on current and former residents, for use in internal and external reports.
Oversight of resident and fellow licensure and training certification renewal
Liaison to Office of Graduate Medical Education and other program coordinators.
Meet with new residents and fellows to review UIHC and residency policies, i.e., curriculum, rotation schedules, vacation leave, conference leave and other absences.
Meet with new residents for review of MedHub resident management system and delineate resident requirements and support staff responsibilities.
Budget oversight and management
Verify all residency and fellowship expenditures and budgets
Academic Standards and Curricular Policies
Treats all matters regarding residents, staff, and patients in a confidential manner.
Obtains only that information necessary for job and discourages conversation about individuals not related to duty.
Reports to work on time and leaves at proper time.
Uses sick leave and vacation in accordance with departmental policies.
Maintain system for Accreditation Council of Graduate Medical Education, collect data and complete annual program reports.
Compile, maintain and update all documents necessary for future accreditation site visits.
Works with PA Residency Program Director on attaining and then maintaining program accreditation.
Possesses knowledge of the Institutional and Program Requirements for the Accreditation Council for Graduate Medical Education, applicable professional societies and boards, and program specific curricular requirements.
Completes any other duties as assigned.

Education Requirements:
Must have bachelor’s degree in business administration or related field or an equivalent combination of education and experience.
Experience Requirements:
Minimum 1-year administrative experience working with graduate medical education (GME)
Desired Qualifications:
Experience with MedHub is highly desirable.
Previous experience working with ProTrav, APR, Qualtrics, and Sign Up Genius is highly desirable.
Prefer knowledge and experience with Epic EHR.
Prefer knowledge and experience managing Social Media platforms.
Knowledge of University of Iowa (UICCOM/UIHC) policies and procedures.
Supervisory experience
