The University of Iowa Office of the Registrar is seeking to hire a 100% full-time Academic Records Coordinator, Degree Services.

Join the Office of the Registrar and have an opportunity to:

  • Manage University of Iowa and closed institution academic records process. Provide support for fulfilling requests for maintained documents.
  • Supervise student employees in Closed Institutions and Imaging.
  • Review candidates for degree each semester and summer session for eligibility to graduate.
  • Communicate with students, staff, and public regarding residency for tuition purposes.  Provide courteous customer service, procedural rules and regulations via email, in-person, and over the phone.

About the Department: In the Office of the Registrar, our mission is to provide the University faculty, staff, students, and public with accurate academic records that support the institution’s primary focus. Our office strives to foster an inclusive culture, anticipate campus needs, optimize resources, and strengthen key processes to support the mission of the university and to become a national model for registrar services.

Required Qualifications:

  • A bachelor’s degree or an equivalent combination of education and related experience or expertise.
  • Experience (minimum of 1 year) working in a professional environment.

 

Competencies Required:

  • Demonstrates a basic proficiency level in the following competencies:
    • The ability to establish, build, and maintain productive relationships and partnerships within and external to own unit and agencies.
    • Ability to work in a team-based environment that supports a variety of individuals and groups in a constructive and respectful manner.

 

  • Demonstrates a working proficiency level in the following competencies:
    • The ability to create, maintain, retrieve, and archive electronic and procedural documents. Follows security and version management guidelines and practices as well as standard processes and procedures to ensure/maintain data accuracy, integrity, and confidentiality.
    • Understanding of the necessity and ability to process information with high levels of accuracy and attention to detail.
    • Use of communication concepts, tools, and techniques to effectively transmit, receive, and accurately interpret information to various groups.
    • Using online records management systems, preferably MAUI (internal UI) system or other student records system or product (e.g., Banner, Peoplesoft).
    • The ability to learn and apply broad institutional rules, policies, and laws, such as understanding Family Educational Rights and Privacy Act (FERPA) and other university and federal regulatory procedures.
    • MS Office Suite applications such as but not limited to Word, Excel, and One Note.

Desirable Qualifications:

  • Understanding of the University’s and Registrar’s Office mission, vision, and key factors.
  • Demonstrates basic familiarity with cash handling, financial processes, and procedures.
  • Experience working in higher education, preferably in a Registrar’s office or role.
  • Direct experience and familiarity with FERPA and university regulations preferred.
  • Experience with organizing paper and digital records and implementing retention policies following AACRAO best practices and standards.
  • Experience with importing and exporting data to work with ITS managing the transfer and integration of student records between systems while maintaining accuracy and security of closed institution records.

Additional Details:

 

Work Modality: This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

Compensation: Starting salary minimum $46,000 with Competitive Benefits
