Administrative Services Coordinator

 

The Department of Political Science at the University of Iowa has a position available to plan, organize, coordinate, and perform administrative support activities the department.  Administrative responsibilities of this position require discretion, confidentiality, independent judgment, and strong analytical skills.  Key duties include:

  • Serves as the Graduate Program Coordinator.
  • Coordinating all components of the graduate program including admissions, recruitment, managing student progress, and assisting with job placement.  
  • Gathering information, answering questions, and processing student and faculty in-person request, as well as email and phone inquiries.
  • Maintaining a large, confidential filing system, assisting in the maintenance of electronic files, keeping track of documents and preparing records for the academic standards review. 
  • Assisting in content creation for digital signage and for social media sites maintained by office. 
  • Works as part of the office team to perform all aspects of administrative support for the department.

Required Qualifications:

  • A Bachelor's degree or an equivalent combination of education and experience is required.
  • Demonstrates working experience in all facets of administrative office support (6 months-1 year office experience).  Working knowledge of and ability to use office support tools available on the desktop (e.g., Microsoft Office suite: calendaring, word processing, e-mail, presentation software and spreadsheets)
  • Demonstrates excellent oral and written communication skills; ability to effectively transmit, receive and interpret ideas, information, and needs through appropriate communication methods and behaviors with faculty, staff, students and outside constituencies, at a working proficiency level.
  • Basic knowledge of accounting methods.
  • Writing, editing, and proofreading skills, as demonstrated at a working proficiency level.
  • Working knowledge and evidence of success in organizing and planning tasks and events and meeting deadlines.

Desired Qualifications:

  • Working experience with electronic processing of transactions.
  • Basic knowledge of web editing and social media accounts.
  • Demonstrates working ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgment as to prioritizing and time allocation.
  • Basic knowledge of University policies, procedures and regulations.
