Administrative & Academic Coordinator
The School of Art, Art History & Design is seeking an Administrative Academic Coordinator at the Administrative Services Coordinator level.
The Administrative & Academic Coordinator will assist in the completion of a wide range of administrative responsibilities, including those related to fiscal management, human resources, managing faculty, student and staff appointments, and being a “point of presence” for departmental business. This position requires management of faculty and student records and a high level of discretion with respect to confidential material. This position provides executive level administrative support.
Key Responsibilities:
- Coordinate course offerings for fall, spring, summer and winter sessions. Review offerings on MAUI and MyUI to ensure accuracy. Make necessary changes through MAUI.
- Maintain and ensure accuracy of the departmental General Catalog.
- Oversee process for all graduate assistant appointments. Ensure compliance with all aspects of COGS contract.
- Manage all aspects of the scholarship process including maintaining information on the SAAHD and UI websites, organizing incoming applications, assisting with the Scholarship Committee meeting, sending award notification letters, and initiating scholarship forms in MAUI.
- Serve as primary backup to the front desk responsibilities.
- Oversee departmental e-mail account and respond to requests for information.
- Manage the calendar and meeting schedule of the DEO.

Education Required:
- A Bachelor’s degree or an equivalent combination of education and experience is required.
Required Qualifications:
- 6 months - 1-year administrative office experience.
- Evidence of excellent oral and written communication skills.
- Demonstrated ability to manage multiple, concurrent objectives, projects or activities, making effective judgements as to prioritizing and time allotment.
- Proficient in Microsoft Office applications.
Desired Qualifications:
- Working knowledge of University of Iowa policies, procedures and regulations.
- Experience working with academic course schedules.
