Provide support to the Director of GME, GME Office staff, Program Directors, Program Coordinators, residents and fellows across a broad spectrum of administrative activities related to maintaining GME records, the GME data system, record tracking and the maintenance of data sets, documentation and files in various formats. Involves interaction with a wide variety of learners, faculty, administrative staff and leaders across UIHC.

Responsibilities:
  • Staff and triage GME Incoming queries (in-person, phone, or electronic)
  • Assist with and perform required onboarding and off-boarding activities (MedHub/employment records, l-9s, background checks, loan deferment forms, pagers, parking, dining dollars, licensure, etc.)
  • Assist with orientations, program completion activities, symposium and other events (food orders, certificate production and distribution, collection of summative evaluations, space and set--up needs) 
  • Track, reserve and facilitate availability of space related to GME functions including on-call rooms, conference rooms, lactation rooms, GME House Staff Lounge
  • Provide timely training verifications after obtaining releases/authorizations 
  • Assist with visas, benefits, gap benefits coverage and other trainee needs
  • Assist in maintenance, organization and storage of training and employment records and other files/forms 
  • Schedule meetings, organize files/documents, perform copying/scanning/mailing, and maintain supplies 
  • Work with GMEO colleagues to quality check data and produce accurate reports
  • Facilitate scheduling and other logistics of GME staff calendars and the GME conference room Assist the House Staff Council with space and function needs
  • Serve as back-up to support ELMS, HR, primary source verifications, workflow entry, and serve as a notary public
  • Create and assist with agendas, exhibits and other reports (PSNs, budget documents, presentations, minutes, etc)
  • Perform duties that require confidentiality
  • Perform other duties as assigned

 

Required Qualifications:
  • Bachelor's degree and/or appropriate combination of relevant administrative experience and education
  • Excellent written and verbal communication skills
  • Significant experience in Microsoft programs, the use of Outlook in communications, calendaring and organization, plus general PC computer experience to support projects and documentation

  • The ability to simultaneously track large and variable data sets and information mandated for reports

  • At least six months to one year of experience in an administrative support role

  • Significant experience working collaboratively with leadership and support staff (e.g. DEOs,CDAs, program staff, GME Office)

Desired Qualifications:
  • Experience working with others on complex processes with a preferred three years' experience in an administrative support role
  • Reliability in attendance and responsiveness to tight project deadlines
  • The ability to track, produce, and organize quantitative and qualitative data for reports 
  • Knowledge of GME and/or the trajectory of physicians through their educational pathways
  • Familiarity with UIHC, the UI and their policies/procedures
