The Administrative Services Coordinator will coordinate administrative operations for the UI REACH program in the College of Education. Provide support to director and administrators and coordinate office procedures, processes, content management systems, and workflow. The Administrative Services Coordinator coordinates the front-line liaison position from UI REACH to its constituents, including UI REACH students, staff, faculty, families, and the public.  

 

This is a full-time specified term appointment with the possibility for renewal at the end of the term.

 

 

Specific Job Duties and Tasks:

 

  • Serve as office manager for the UI REACH program.
  • Provide support to the director and administrators; monitor and coordinate office activities and administrative work processes.
  • Provide training and support to UIR staff, students, families and other stakeholders as needed.
  • Responsible for workflow functions related to procurement cards, trip creation staff, Fleet Services requests for employees.
  • Liaison from UI REACH to University Shared Services and HR transactions and I 9 HUB.
  • Responsible for understanding policies and procedures related to cash handling and to ensuring that these policies and procedures are followed.
  • Develop and revise departmental informational materials for distribution.
  • Maintain content management system (currently Salesforce) including acting as liaison to the vendor, training staff on using the CMS, running reports, and entering data as required.
  • Coordinate communication as the front-line liaison with, students, families, and the general public regarding inquiries and requests, requiring discretion and independent judgment.
  • Coordinate and manage mass communication to stakeholders.

Education Required:

  • A Bachelor’s degree or an equivalent combination of education and experience is required. 

 

Required Qualifications:

  • Experience in an administrative support role, office management or other related experience. Typical experience is 1- 3 years.
  • Proficiency in computer software applications in the Microsoft Office suite.  
  • Experience with and/or interest in interacting with persons with disabilities.
  • Supervisory experience in assigning work and evaluating work flow.  
  • Ability to collect, synthesize and manage data for the improvement of office systems.
  • Excellent oral and written communications skills; ability to effectively transmit, receive, and interpret ideas, information, and needs through appropriate communication methods and behaviors at a working proficiency level.

 

Desired Qualifications:

  • Experience with Content Management Systems, such as SalesForce.
  • Experience with UI software systems such as Dispatch, Maui, Icon, and Maxient.
  • Experience assisting persons with disabilities and their families in the workplace and/or in community settings.
