The College of Dentistry is seeking a highly organized and collaborative professional to join the Office of Academic & Student Affairs. This position serves as a initial point of contact for students, faculty, staff, and visitors and plays a key role in supporting student success, academic programs, and office operations. Working in a shared office environment with frequent interactions and competing priorities, the successful candidate will thrive in a fast-paced setting, exercise sound judgment and discretion, and effectively balance customer service, confidentiality, and administrative responsibilities while serving as a welcoming, knowledgeable, and trusted resource.

Job Duties:

·         Serve as an initial contact for students, faculty, staff, and visitors in the Office of Academic & Student Affairs while providing administrative support to the Assistant Dean of Students.

·         Coordinate a variety of events, meetings, and programs that support students and the college community, including student leadership activities, orientations, ceremonies, and special events.

·         Support student success initiatives by coordinating academic support services, testing accommodations, scholarship and award processes, and student-focused programs.

·         Assist with the administration of student organizations, including financial tracking, account reconciliation, fundraising support, and compliance-related activities.

·         Perform financial and operational support activities, including budget monitoring, purchasing, scholarship processing, and account reconciliation.

·         Develop, maintain, and analyze reports, records, databases, and other information resources that support office operations and informed decision-making.

·         Collaborate with colleagues across the college and university to support strategic initiatives, communicate information, and ensure efficient delivery of services.

·         Provide administrative support for office operations, including scheduling, meeting coordination, travel arrangements, communications, and related activities.

·         Contribute to additional projects and initiatives that support the mission of the Office of Academic & Student Affairs and the College of Dentistry.

 

Admin Services Coordinator – PAA1

College of Dentistry – Dental Administration

Salary:  $55,019 to commensurate (Pay Grade: 2B)

 

Schedule:       Initially, Monday – Friday, 8:00am to 5:00pm

Upon successful training period, standard hours will be, Monday – Friday, 6:45am to 3:45pm

                Will require some work outside of designated work hours

REQUIRES:

·         Bachelor’s degree in relevant area, or an equivalent combination of education and relevant experience.

·         Experience supporting students, clients, customers, or other constituent groups through complex administrative processes.

·         Expertise with calendaring, word processing, and spreadsheeting applications (i.e. Microsoft Office Suite or Google G Suite).

·         Demonstrated strong written, verbal, and interpersonal communication skills.

·         Demonstrated exceptional organizational skills, attention to detail, and ability to successfully manage deadlines.

·         Experience reconciling financial accounts.

·         Demonstrated experience maintaining confidentiality and handling sensitive information.

·         Demonstrated experience in providing superior customer service.

·         Demonstrated success coordinating multiple projects, events, or priorities simultaneously in a fast-paced environment with multiple distractions.

·         Demonstrated adaptability and strong critical thinking and problem-solving skills.

·         Knowledge of and ability to maintain compliance with applicable privacy regulations, including FERPA and related confidentiality requirements.

 

Highly Desirable:

·         Transactional financial experience (cash handling and invoicing).

·         Experience monitoring departmental/programmatic budgets.

·         Experience planning and coordinating large-scale events, including venue selection, contract review, logistics, and purchasing of supplies and equipment.

·         Experience working and collaborating effectively with a variety of stakeholders in a higher education, healthcare, or other complex organizational environment.

·         Experience creating and maintaining reports, databases, and other administrative records.

·         Experience creating surveys, registrations, and data reports using Qualtrics, SurveyMonkey, SignUpGenius, Doodle, or similar platforms.

 

Desirable:

o   Experience with graphics software such as Canva, Adobe Photoshop, Adobe Creative Cloud Suite, or similar programs.

o   Working knowledge of web-based tools utilizing databases and internet searches.

o   Experience creating and sending forms through cloud-based services, such as Docu-Sign.

o   Experience with Virtual Meeting platforms such as Zoom, Microsoft Teams, Skype, WebEx (or equivalent).

o   Experience serving on organizational committees, representing constituencies, and taking minutes/notes.
