The Department of Computer Science at the University of Iowa is seeking an Administrative Services Coordinator to support the daily operations of the department by providing operational support to the DEO, faculty, staff, and students. This position is the primary contact for the CS Department, providing departmental information, responding to inquiries, and coordinating department activities and events.

The option for hybrid work within the state of Iowa may be considered and will be discussed during the interview process. If approved, hybrid arrangements will typically be limited to one day per week and will only be available after the employee has completed full training and onboarding. Per policy, work arrangements will be reviewed annually and must comply with the remote work program and related policies and employee travel policy when working at a remote location

 

Computer Science at the University of Iowa 

One of the oldest in the nation, the Department of Computer Science is home to approximately 1,000 undergraduate majors in four distinct degree programs (Computer Science, Informatics, Data Science, and Computer Science and Engineering), and just over 100 graduate students in our Computer Science and interdisciplinary Informatics programs. The Department offers undergraduate degrees in Computer Science, Informatics, Computer Science & Engineering, and Data Science, as well as the Master and PhD in Computer Science and Informatics.

Key Responsibilities

  • Relay information to faculty, students, staff, and the public. 
  • Play an integral part in the departmental supply procurement process and other financial responsibilities. 
  • Assist with developing marketing materials for a variety of media and updating web content. 
  • Offer support for departmental and student organization events. 
  • Assist with preparation of reports and with ad hoc project management tasks. 
  • Serve as a welcoming and helpful in presence for faculty, students, staff, and the public.

Education Required

  • A bachelor's degree or an equivalent combination of education and experience. 

Required Qualifications

  • Minimum of 6 months demonstrated working experience in an administrative office support role. 
  • Extensive experience with Microsoft Office Suite/Office 365 (especially Word, Excel, and Outlook), Zoom and/or Teams. Willingness and ability to learn new software platforms as needed. 
  • Excellent written and verbal communication skills including the ability to transmit, receive, and interpret ideas, information, and needs effectively through telephone, email, and in person with a variety of people who may include faculty, staff, students, visitors, and alumni/ae. 
  • Strong attention to detail and problem-solving skills and the ability to exercise good independent judgment and discretion in handling responsibilities. 

Desired Qualifications

  • Experience working in an academic environment. 
  • Working experience in customer relations. 
  • Working ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgments as to prioritizing and time allocation. 
  • Working knowledge of University policies, procedures, systems, and regulations. 
  • Basic knowledge of or willingness to learn web content management systems, web-based social media, graphic design, and other new software as needed.
