The Department of Physics and Astronomy has an outstanding opportunity for a full-time Administrative Services Coordinator. The individual hired will be responsible for overseeing departmental course management processes, including managing course and curriculum information in electronic systems such as MAUI, ICON, and the UI General Catalog. Additional responsibilities include serving as a liaison to students, faculty, staff, and the public to address and route inquiries in a fast-paced, high-volume administrative office. This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location

Key Responsibilities

Operational Support and Management

  • Oversee the course offerings planner process in the MAUI system, including setting up courses, assigning instructors, updating registration statuses, and maintaining the master course list.
  • Assist with general front desk responsibilities, including responding to and directing phone and email inquiries.

Strategic Planning

  • Assist the Department Administrator and Assistant to the DEO with developing, implementing, and evaluating department strategies and plans as needed. Provide enrollment and faculty teaching effort data to department leadership for strategic planning and evaluation purposes.
  • Assist Director of Undergraduate Studies during prospective undergraduate student programs/events.

Information Management

  • Maintain course lists, course numbering database, and General Catalog descriptions; oversee MAUI and General Catalog updates regarding courses offered, classroom locations, pre- and co-requisites, and related information.

Communications Management

  • Compose correspondence in response go routine inquiries.
  • Distribute departmental news stories through email, departmental website, and social media (Facebook, Instagram, LinkedIn, X).
  • Compile, develop and maintain departmental weekly calendar, annual awards celebrations and departmental newsletter.

Education Required

  • Bachelor’s degree or equivalent combination of education and experience.

Required Qualifications

  • Minimum of one year related administrative and/or program experience.
  • Proficiency with Microsoft Office applications.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to organize and prioritize multiple tasks.
  • Demonstrated ability to multi-task and work as team.

Desired Qualifications

  • Experience with MAUI.
  • Knowledge of University policies, procedures, and regulations.
