Administrative Services Coordinator - Glaucoma
University of Iowa Health Care, Department of Ophthalmology & Visual Sciences, is seeking a 100% Administrative Services Coordinator (ASC) - Glaucoma. The Administrative Services Coordinator (PAA1; 2B) serves as a liaison between the patient population and Glaucoma Faculty. Provides administrative support in the Glaucoma Specialty area for the Department of Ophthalmology. Assists front line support staff and technicians with direct patient care related tasks and other duties as assigned. Position responsibilities include:
- Serve as primary contact for outside physicians and patients about glaucoma care at the University of Iowa (via phone, email, and letters).
- Assist with the medical record (Epic) by formatting clinic notes and streamlining electronic recordkeeping for Glaucoma faculty members.
- Manage correspondence for Glaucoma faculty members (i.e., letters typed by faculty in the electronic medical record).
- Assist with prior authorization documentation for medications and procedures.
- Manage the schedules of Glaucoma faculty members and organize travel and reimbursements
- Assist with management of the Glaucoma Fellowship Program, Journal Clubs, and visiting professorships.
- Provide assistance for onboarding of new Glaucoma Faculty, Fellow, resident members.
- Obtain, tabulate and analyze data to prepare periodic and special reports.
- Obtain, coordinate and distribute information on behalf of Glaucoma Service.
- Perform other duties as assigned.

Hybrid: This position is eligible for one day of remote work upon completion of training. The day of the week is determined by department needs.
REQUIRED QUALIFICATIONS
• Bachelor’s degree in Business Administration or related field, or an equivalent combination of education and experience.
• Minimum 6 months - 1 year administrative and financial experience.
• Ability to anticipate needs, problems and potential issues and use judgment, foresight and problem-solving skills to troubleshoot, recommend and implement solutions.
• Demonstrate careful attention to detail and accuracy, strong organizational skills and ability to handle multiple tasks quickly and effectively, proactively establish priorities and meet deadlines.
• Excellent written and verbal communication skills required including ability to compose communications and grammatically correct documents in a concise, logical and organized manner.
• Proficient in computer software applications (Microsoft Office Programs)
• Valid US driver’s license and eligibility to operate motor vehicles under University standards.
DESIRED QUALIFICATIONS
• Three years + administrative support experience in a health care and/or collegiate setting is highly desirable.
• Three years + with support experience with multiple calendar and scheduling management is highly desirable.
• Proficient in electronic medical records (i.e. – Epic)
• Experience planning and/or organizing meetings and group events.
• Experience with accounts and expenses, direct and indirect costs.
• Experience with reconciliation of funding sources.
• Experience with purchasing and receiving of resources & supplies.
• Knowledge of University of Iowa policies and procedures.
