The University of Iowa, College of Law is seeking a Student Services Manager. This position is responsible for managing key collegiate student events and programs. Responsibilities encompass the planning and execution of a variety of significant public facing events, including but not limited to, the annual five-day orientation, commencement ceremonies, and the senior banquet; organize Parents and Partners Day and manage student co-curricular activities. This position also manages budgets for events and programs and assists with exam accommodations. The position requires attention to detail, excellent organizational skills, and the ability to work collaboratively with various teams and departments, all aimed at enhancing the student experience and upholding the college's commitment to academic excellence.

 

Job Duties and Tasks: 

  • Manage, coordinate, and oversee all tactical and some program planning aspects of annual five-day orientation program. This includes over 30 events for incoming students, and upper-class volunteers. 
  • Work closely with professional staff on commencement activities, direct third-year graduation committee as it plans events related to and including commencement, including arranging travel for speakers, creating the commencement notebook containing proofed versions of all remarks, create the program, ordering apparel for all graduates, faculty, and members of the podium party, arranging for live music provided by two separate ensembles, ordering and directing the provision of food and seating for over 1,000 guests including graduates, students, staff, faculty and guests. Participate in the graduation coordinators group, meeting regularly with the “UI Commencement” team. Prepare information as needed for Central Administration.
  • Manage, coordinate, and oversee all aspects of annual senior banquet for 400-450 students/guests/faculty/staff annually. Plan for all contingencies, charge u-bills for tickets, work closely with faculty speaker, awards committee, and staff at IMU. 
  • Manage, coordinate, and oversee the Parents and Partner Day through planning, invitations, scheduling, and more.
  • Provide administrative assistance to law journals and Moot Court by processing financial transactions for travel, reimbursement of food, supplies, mailings, etc.
  • Responsible for staying within budget for Orientation, Commencement, Senior Banquet, Parents & Partners, and other student activities. 
  • Serve as primary administrative support for Associate Dean for Student Affairs & Career Services
  • Assist in updating materials for the Registrar’s Office, Student Handbook, all commencement-related activities including the commencement program, student photographs, class announcements and other matters as they arise.

Required Qualifications

  • Bachelor’s degree or equivalent combination of education and experience and a minimum of 3 years of related experience.
  • Demonstrated ability to work both independently and collaboratively with students, faculty, and staff in a high functioning administrative role.
  • Demonstrated ability to adhere to regulations related to confidentiality and record keeping.
  • Demonstrated ability to exercise good judgement.
  • Evidence of strong organizational and prioritization skills, accuracy, and attention to detail.
  • A working knowledge and proficiency with one or more of the following: Microsoft Office Suite (or Word and Excel), Teams, Office365, SharePoint, Zoom, Adobe Acrobat, and/or demonstrated ability to learn emerging technology.

 

Desirable Qualifications

  • Experience with event planning and execution, project management, or crisis response experience.
  • Experience working in the Microsoft Office suite.
  • Knowledge of University of Iowa policies and procedures.
