Assistant to the Departmental Executive Officer – Department of Psychological and Brain Sciences

The Department of Psychological and Brain Sciences has an outstanding opportunity for a dedicated and organized individual to join our team as the Assistant to the DEO (Departmental Executive Officer, or Department Chair).
This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.
Key Responsibilities
Operational Support and Management
- Support the daily operations of the administrative office, including coordinating special events and activities, exercise independent judgment in identifying general purchasing needs based on departmental priorities (including managing the recruitment budget), and other administrative duties as required.
- Make decisions and exercise a high level of autonomy while typically performing administrative support/ management responsibilities for the DEO and Departmental Administrator, including managing dynamic schedules, preparing correspondence, and making travel arrangements.
- Act as primary custodian for the key management system.
Administration
- Provide administrative supervision to student employees.
- Coordinate with marketing and outreach teams to develop content for print, website, and social media.
Purchasing and Finance
- Purchase supplies and services for the department.
- Track expenditures for the department in accordance with the direction of the Departmental Administrator.
Supporting Graduate Recruitment Process
- Communicate with prospective applicants through e-mail, telephone, and face- to-face meetings regarding their qualifications, the application process, the program structure and attributes, as well as likely outcomes.
- Assist with the coordination of interviews of prospective graduate students.
- Communicate with graduate program applicants regarding planned visits and/or their application status.

Education Required
- Bachelor’s degree or equivalent combination of education and experience.
Required Qualifications
- Minimum of 1 year of experience in an administrative or executive support position.
- Extensive proficiency in computer software applications.
- Strong organizational skills, excellent written and verbal communication skills.
Desired Qualifications
- Knowledge of University policies, procedures, and regulations, especially procedures and policies pertaining to faculty review, promotion and recruiting.
- Proficiency in UI systems including MAUI, ICON, ProTrav, procurement and other systems.
- Demonstrated ability to organize and prioritize multiple tasks; ability to multi-task and work as a team.
- Experience supervising students and/or professional staff.
