Clinic Services Specialist - Part Time
Position Summary
The University of Iowa Stead Family Children’s Hospital, Pediatric Specialty Clinic is seeking a Part-Time Clinic Services Specialist that is responsible for patient check out and scheduling patient appointments and visits, following the guidelines set forth by the department providers and the scheduling protocols provided by the department manager. This position will be working closely with patient and families for follow up appointments after visit in the clinic. Uphold to the department’s best practices and is accountable for performing these tasks. Serves as mentor, role model, and service excellence ambassador for staff, co-workers, patients and visitors. May perform other duties as assigned.
Position Responsibilities
- Responsible for scheduling patient appointments and visits in the exam rooms after the visit using the EPIC system.
- Contact patients and set up appts and testing via phone calls
- Work the active request work queue for the Cardiology and Diagnostic Depts on a timely basis
- Assists with problem solving of scheduling issues.
- Follows the scheduling policies to facilitate all patient appointments.
- Attends scheduling staff meetings.
- May perform other duties as assigned.
- Notifies the scheduling department’s frontline supervisors of scheduling issues.
- Serves as an intermediary between patients and nursing personnel concerning scheduling concerns and medical needs.
- Negotiates appointments with patients and other departments.
- Negotiates schedule changes with providers and communicates changes with staff/supervisors.
- Explains the scheduling policies to other schedulers as needed through written and oral communications
- Update scheduling manuals
- Work with providers on closing templates and rescheduling patients
- Assists in training new staff members.
- Flexibility in hours due to coverage of absences
- Cover desks for staff absences in the Ped Specialty Clinic as well as the Stead Family Children’s Hospital
- Collaborates with peers and co-workers to enhance the delivery of health care.
- Provides feedback to management on means to achieve goals and resolve service issues.
- Contributes ideas and seek ways to improve assigned processes.
- Run data reports and analyze data and share input for improvements

Education Requirements
A Bachelor’s degree or an equivalent combination of education and experience
Required Qulifications
- Minimum 1 year scheduling in an outpatient specialty clinic setting experience.
- Ability to be self-directed and demonstrate excellent judgement in prioritizing multiple projects and assignments.
- Excellent written and verbal communication skills.
- Proficiency in computer spreadsheet and database applications.
- Ability to work with providers and clinicians
Desired Qualifications
- Experience with hospital operations and/or Ambulatory Clinic operations.
- Experience working in an Academic Medical Center
- Experience with the Epic system.
- Experience working with pediatric patients & their families
- Cardiology scheduling experience
