Facilities Coordinator
Position Specific Summary:
Provides oversight to the custodial operations, inventory management and keys and card access programs for the Iowa Memorial Union. Position has administrative supervisory responsibilities for the custodial staff and will work closely with Event Services staff to ensure that IMU event spaces are clean, safe, and welcoming. Position will support the work of IMU building partners through regular building inspections and project work to provide optimal working and service providing conditions.
Specific Tasks & Job Duties
Oversee Daily Facility Operations — Direct custodial and building operations to maintain a safe, clean, and welcoming environment for all IMU users.
Coordinate Event‑Related Facility Support — Communicate upcoming events and activities to custodial teams and ensure spaces are prepared, set, and secured according to event requirements.
Serve as Manager on Duty — Respond to inquiries, incidents, and emergencies, act as primary facility contact for staff, patrons, and emergency personnel.
Supervise Custodial and Student Staff — Schedule, assign, and monitor work; train employees; and oversee performance management, hiring, and disciplinary actions.
Support Recycling and Waste Operations — Direct recycling and waste removal processes and report pest control concerns to Facilities leadership.
Secure the Facility — Clear and lock building areas at designated times, assist retail/service units with operational issues, and ensure cash‑handling areas are secured.
Conduct Facility Inspections — Assess furnishings, flooring, and building conditions; recommend repairs, improvements, and refinements to maintain high appearance standards.
Manage Equipment and Supplies — Oversee custodial equipment purchasing, inventory, and maintenance; recommend new acquisitions.
Ensure Safety and Compliance — Promote safe work habits, ensure adherence to IMU safety programs, and support OSHA‑related compliance efforts.
Provide Customer Service — Deliver responsive, high‑quality service to IMU visitors, staff, and event clients.
Assist With Event Planning Tools — Utilize systems such as Mazévo and Visio to support event planning and room setup coordination.
Perform Administrative and Budget Tasks — Complete payroll, reporting, and documentation; assist with budget review and operational planning.

Required Qualifications & Skills
A Bachelor's degree or equivalent combination of education and supervisory experience.
Administrative experience (typically 1-3 years) in event or facility management including coordination of resources and supervision; preferably within a collegiate setting.
A valid driver’s license is required, as well as an ability to meet and maintain University of Iowa Driving Policy.
Basic knowledge of event management processes and activities; ability to plan, organize and execute events and to coordinate resources before, during and after an event.
Working knowledge of the full spectrum of facilities management activities; ability to manage patrons and their safety of the facility, problem solve operational issues and oversee the cleaning and care for physical facilities.
Basic knowledge and ability to apply organization's performance management system, practices, and tools to developing and improving individual, team, and organizational performance.
Demonstrated experience creating and maintaining a welcoming and respectful environment.
Work experience using standard office computer applications, i.e., email and MSOffice
Desired Qualifications
Work experience with event management computer programs and digital display system; specifically, Visix d Basic work experience supervising bargaining unit employees. Digital display, Event Management System (EMS) and Visio room diagram programs
Basic knowledge of university policies, procedures, and regulations.
Basic knowledge of audiovisual equipment and ability to provide AV related customer service
