The Holden Comprehensive Cancer Center at the University of Iowa is seeking a Genetic Counselor Assistant that will provide various pre-visit, post-visit, and follow-up appointment duties. Administrative duties pertain to those necessary to assist genetic counselors in providing counseling and risk assessment for genetic conditions for patients and families. The assistant ensures accurate and complete medical charts prior to patient visits by obtaining and/or completing documentation, appropriate patient communication and coordination, specimen handling and shipping, and data entry into the electronic health record.

Duties to include:

  •                 Prepare pre-genetic counseling appointment information. Ensure accurate genetic counseling charts with all needed documents including appropriate pathology and medical reports; format pedigrees; calculate appropriate risk models; and assist with preauthorization for visits and/or testing.
  •                 Coordinate paperwork and authorization for family/physician communication; enter appropriate information into the electronic health record; prepare patient test requisitions for genetic testing; assist in necessary preparation of documentation for test processing; assuring safe transfer of blood, saliva, or tumor samples to and from the appropriate lab; assist in writing letters of medical necessity; communicate insurance information to patient.
  •                 Receive genetic test results from laboratories; consult counselors/clinicians to schedule disclosure visits and enter appointments into electronic health record; confirm disclosure appointments; enter test results into database; enter post-visit checklists.
  •                 Triage incoming referrals; coordinate and schedule genetic counseling visits; and maintain database of visits.
  •                 Support the cytogenetics and molecular diagnostic labs, acting as a liaison between the laboratory, genetic counselors, and patients.
  •                 Performance of clerical duties (faxing, filing, mailing, copying etc.).
  •                 Assistance with educational and administrative projects.
  •                 Recruit and consent for available research studies.
  •                 Contribute ideas and seek ways to improve assigned processes. 
  •                 May perform other duties as assigned.

TECHNICAL COMPETENCIES

  •                 Knowledge of the major responsibilities, accountabilities, and overall organization of the genetic counseling service; ability to properly support genetic counseling to achieve an effective and efficient patient experience.
  •                 Knowledge of and ability to aid in duties related to patient coordination.
  •                 Understanding of effective communication concepts, tools and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors.
  •                 Ability to apply organization's performance management system, practices, and tools to developing and improving individual, team, and organizational performance.  Working knowledge and understanding of the Health Insurance Portability and Accountability Act. 
  •                 Working knowledge and understanding of health information concepts and terminology as well as operational issues, considerations and processes. 
  •                 Working knowledge of the electronic medical record.

Work Schedule: Monday – Friday, Hours generally worked between 7:00am-5pm

REQUIRED QUALIFICATIONS

  •                 A Bachelor’s degree or an equivalent combination of education and experience is required. 
  •                 Excellent organizational, interpersonal, and communication (both verbal and written) skills
  •                 Demonstrated ability to work as a cooperative team member
  •                 Proficiency in computer software applications, including Microsoft Office Suite
  •                 Ability to analyze information and situations, prioritize tasks, develop solutions to challenges
  •                 Ability to use good judgment while working independently and in a team setting

 

DESIRABLE QUALIFICATIONS

  •                 Demonstrated attention to detail
  •                 Excellent organizational skills
  •                 Experience working with EPIC
  •                 Knowledge of medical terminology
  •                 Minimum six months of clerical administrative work
  •                 Experience working in customer service
  •                 Experience working with data
  •                 Experience working in an outpatient healthcare setting
  •                 Demonstrated ability to resolve issues related to customer concerns or workflow changes and challenges
