HR Associate - HealthCare Human Resources
Position Summary
The HR Associate provides centralized support through the HR Shared Services team, overseeing and managing a broad range of HR transactional workflows across UI Health Care. This position specializes in HR transactions to ensure efficiency, accuracy, and compliance in processing new appointments, changes of status, leaves of absence, special compensation payments, terminations, and employee transfers.
The HR Associate serves as a key resource for HR administrative operations, supporting HR systems and programs, administering the HR Loop platform, coordinating employee recognition and engagement initiatives, overseeing the employee lactation room program, and providing operational and administrative support to the Central HR team. This position works closely with HR Business Partners, departmental leaders, managers, and employees to ensure exceptional customer service and the effective administration of Human Resources processes across UI Health Care.
Position Responsibilities
Oversee and manage HR transactions including, but not limited to:
New appointments and onboarding activities.
Change of status transactions, including promotions, title changes, and salary adjustments.
Leaves of absence, including coordination and documentation of medical, parental, and other leave programs.
Special compensation transactions, including flex payments, stipends, spot awards, and other compensation adjustments.
Employee terminations, including offboarding coordination and processing.
Employee transfers and movement between departments and organizational units.
Ensure accurate and timely entry of all HR transactions in accordance with university policies, procedures, and deadlines.
Serve as a subject matter resource for assigned HR transaction areas, ensuring consistency and compliance.
Audit reports and transactions to ensure completeness, accuracy, and data integrity.
Monitor and analyze leave activity and reporting as required.
Update and maintain employee records and personnel documentation as appropriate.
Set up, track, and coordinate Ancillary and Complimentary Appointments within applicable HR systems as needed.
Gather and compile employee and salary-related information as needed.
Troubleshoot and resolve issues related to HR transactions and documentation.
Participate in process improvement initiatives designed to enhance service delivery and operational efficiency.
Educate managers and staff on HR policies, procedures, and applicable processes.
Serve as the primary administrator for the HR Loop platform.
Maintain and update HR Loop content, resources, announcements, forms, and communications to ensure information remains accurate and current.
Coordinate system access, provide user support, and troubleshoot issues in collaboration with internal and external stakeholders.
Manage and monitor the centralized HR inbox and phone line, ensuring inquiries are addressed, routed appropriately, and resolved in a timely manner.
Provide administrative, coordination and operational support for Health Care Human Resources to include HR onboarding series, event planning and other tasks as assigned.
Track and coordinate projects, assignments, deadlines, and follow-up activities for Central HR.
Assist with special projects and strategic initiatives that support HR operational goals.
Coordinate the employee retirement recognition program, including verifying service eligibility, tracking retirement gift requests, communicating with vendors, and facilitating gift distribution.
Process and distribute physical HR mail and documentation between university departments and offices.
Serve as a resource for HR-related questions by connecting employees, managers, and departments with appropriate contacts, services, and information.
Deliver excellent customer service while addressing employee and departmental inquiries.
Coordinate and oversee the employee lactation room program across UI Health Care.
Manage room access, communication, scheduling processes, and employee support related to lactation room use.
Collaborate closely with HR Business Partners, departmental leaders, managers, and other stakeholders to process and resolve HR requests.
Build effective working relationships across the organization to support HR operations and service delivery.
Ensure confidentiality and appropriate handling of sensitive employee information.
Promote a positive customer experience through responsive, professional, and solutions-focused service.

Percent of Time: 100%
Schedule: 40 hours per week, Monday – Friday, work hours between with work hours between 8:00 AM – 5:00 PM

Education Requirements
A Bachelor's degree in Human Resources Management or Business Administration or related field, or an equivalent combination of education and experience.
Experience Requirements
Previous customer service experience is required within the last year.
Must possess strong organizational skills and attention to detail.
Excellent interpersonal and relationship building skills with the ability to communicate effectively (verbally and written) at all levels of the organization.
Demonstrated proficiency with Microsoft Office and computer software applications.
Ability to work independently and as part of a team in a fast-paced, dynamic environment.
Commitment to maintaining confidentiality and handling sensitive employee information with integrity.
Desired Qualifications
Working knowledge of state and federal regulations affecting human resources.
Previous work in Human Resources.
Experience in data management and analytics with a focus on transactional work.
Knowledge of University policies and procedures.
