HR Associate - Heart and Vascular Center
Position Summary
Provide human resources support to the Heart and Vascular Center (HVC) by assisting leadership, faculty, and staff across the cardiovascular service line. Responsibilities include supporting talent acquisition and onboarding, processing HR transactions, maintaining personnel records, monitoring compliance, and providing guidance on HR policies and procedures. This role partners with HR team members to ensure efficient HR operations and consistent service delivery across assigned HVC divisions and units.
Talent Management & Engagement
• Assist with recruitment activities for faculty, P&S (non-bargaining), SEIU, Merit, and student positions
• Support requisition preparation and external advertising processes
• Screen applicants, schedule interviews, and participate in interviews as requested
• Ensure recruitment files and documentation are complete and maintained for each search
• Assist with preparation of offer materials and coordination of onboarding activities
• Partner with hiring managers and HR team members to support timely hiring processes
HR Program Administration & Operations
• Initiate and process HR transactions including appointments, status changes, and separations
• Support onboarding processes including I-9 verification, new hire documentation, and system access requests
• Maintain personnel files and ensure accuracy of employee records in HR systems
• Assist with student employment processes and administrative support for trainees as needed
• Coordinate offboarding activities including exit checklists and documentation
• Provide general HR administrative support across assigned HVC divisions/units
Compliance with Policies, Laws & Regulations
• Monitor and track compliance requirements such as licensure, training, and I-9 documentation
• Run HR reports and follow up with staff and supervisors to address outstanding requirements
• Maintain confidential personnel records in accordance with University and departmental policies
• Respond to questions related to compliance requirements and escalate issues as appropriate
Advising & Communication
• Provide guidance to staff and supervisors on HR policies, procedures, and systems
• Respond to routine HR inquiries and provide “how-to” support for HR-related processes
• Communicate HR updates and assist with coordination of recruitment and operational activities
• Schedule meetings and support ongoing communication with assigned units
• Maintain a customer-focused approach in supporting HVC faculty, staff, and leadership

Schedule: Monday - Friday, between the hours of 8:00a-5:00p

Education Requirements
• Bachelor’s degree in Human Resources, Business Administration, or related field; or equivalent combination of education and experience.
Required Qualifications
• Minimum 6 months – 1 year of HR or related experience
Desired Qualifications
• Experience supporting multiple HR functions (recruitment, employee relations, payroll, etc.)
• Attention to detail with the demonstrated ability to prioritize and meet deadlines in a high-volume team environment.
