University of Iowa Health Care, Internal Medicine Department is seeking a Human Resources Coordinator to provide guidance and HR support to staff, faculty, and leadership in the Department of Internal Medicine. HR support includes but is not limited to the coordination of talent acquisition and onboarding, compliance monitoring, transaction processing, and personnel file maintenance. 

Position Responsibilities:

Talent Management & Engagement

  • Work with HR Generalist as needed to coordinate recruitment activities for P&S (non-bargaining), SEIU, merit and postdoctoral research scholar positions.
  • Schedule interviews and serve on search committees.  Develop interview questions and work samples, as needed. Ensure positions are being filled in a timely manner. 
  • Ensure recruiting files are maintained for each open position.
  • Focus on effective networking methods to reach the greatest number of potential candidates through internet sourcing, direct mailing, LinkedIn, industry leads & sources, key contacts, portals, etc.
  • Work with hiring managers to understand immediate and future requirements in business units to regulate direction of efforts.

HR Program Administration & Operations

  • POC for I9 verification.  Complete I9 verification for new employees and onboarding checklists for staff. 
  • Oversee student employment process.
  • Backup for immigration - collaborate with HR Specialist regarding immigration documentation; follow up on all immigration documentation to ensure compliance by verifying their visa, passport, and review past immigration documentation in some cases.
  • Backup Leave and Disability POC in the department
  • Assist HR Specialists with processing licensing and credentialing for clinical providers.
  • Assist with completing adjunct renewal letters.
  • Assist divisions and department graduate medical education team as needed in administrative function.
  • Assist with ensuring compliances are fulfilled.
  • Complete loan forgiveness forms and employee verification letters when requested.
  • Assist in the administration of annual staff reviews and merit increases.
  • Coordinate completion of Medicare timesheet and follow up as needed.

Advising/ Communication 

  • Assist divisions in completing off boarding checklist.  Maintain documentation in files.
  • Communicate with staff and provide basic 'how to' instructions and guidance regarding policies and practices such as payroll applications, compliance issues, and employment inquiries.
  • Recruitment meetings - schedule face to face meetings, initiate phone call discussions and support communication with email updates.

Strategic Planning 

  • Communicate information, policies and operational changes to assigned divisions/units; provide input on development of policies and procedures within the department; provide recommendations regarding changes to processes, practices and strategies.
  • Identify opportunity to improve systems and processes, achieve efficiencies and/or improve service delivery.
  • Assist with planning for recognition events and celebrations.
  • Work on projects as required.

Compliance with Policies, Laws and Regulations

  • Run HR reports, as needed; follow up to ensure compliance; take action to ensure compliance with laws, University policies and departmental expectations; follow up with assigned divisions/units to address outstanding compliance requirements.
  • Evaluate requests and exercise discretion and judgment in providing confidential information to appropriate parties internally and externally.

QUALIFICATIONS

Education Requirement

  • A Bachelor's degree in Human Resources Management or Business Administration or related field, or an equivalent combination of education and experience.

Experience Requirement

  • Minimum of 1-2 years of experience functioning in an HR Coordinator, HR Generalist, HR Specialist and/or related HR position.
  • Prior experience performing and/or supporting multiple HR functions including recruitment, performance management, employee relations, compensation and classification, and payroll.
  • Demonstrated ability to work autonomously, maintain confidentiality, prioritize tasks, and meet deadlines while possessing a strong attention to detail.
  • Demonstrated ability to work within a multidisciplinary setting, excellent interpersonal and communication skills.
  • Proficiency in computer software and applications including Word, Excel, PowerPoint, and Outlook.

Desired Qualifications

  • Knowledge of University policies, procedures, and HR systems.
  • Working knowledge of state and federal regulations affecting human resources.
  • Ability to be organized, flexible and multi-task in a high volume and fast-paced environment.
