HR Specialist - Internal Medicine
BASIC FUNCTION AND RESPONSIBILITY
Provide human resources support to the Department of Internal Medicine. Coordinate, administer, and implement aspects of faculty recruitment and appointments. Supports the administrative aspects of faculty onboarding. Respond to inquiries concerning policies and procedures.
KEY AREAS OF RESPONSIBILITIES
Talent Acquisition and Onboarding:
Initiate, coordinate and monitor all faculty recruitments through the hire date.
Assists with the recruitment process for faculty, review and make recommendations to job postings, interview ratings and selection summary justifications; review related forms in workflow to ensure compliance with University policies and procedures.
Understand and apply University policies and procedures related to recruitment waivers; provide advice and recommendations to departmental leadership for faculty recruitment waivers; ensure requisite forms are completed and a business justification is present for submission and approval.
Serves as first department-level reviewer of faculty offer letters for accuracy and compliance. This includes standard offer letter language, faculty track information, and/or additional offer letter language that may need further review. Escalates questions appropriately.
Evaluate faculty candidate’s ability to acquire necessary licensure within the State of Iowa. Collect information and data, as needed, and prepare related letters of support or other justification.
Identify potential immigration needs of candidates and work with department Senior HR Specialist to assure appropriate requirements for employment are met within the desired time frame.
Assists with aspects of onboarding for faculty including credentialing and licensure. Interact with Clinical Staff Office and CCOM Faculty Affairs staff.
HR Transactions and Maintenance of Employee Information:
Initiate faculty HR transactions including appointments, changes in status and terminations.
Oversee the maintenance of confidential faculty personnel records including state and federal licensure and required documentation.
Perform and monitor faculty related data entry for Employee Self-Service. Run reports as needed either for maintenance or HR faculty information.
Maintain, update and monitor the faculty recruitment and onboarding database for administrative and division use.
Maintain faculty recruitment and credentialing trackers in Excel.
Audit standard reports to assure completeness and accuracy of information.
Compliance with Policies, Laws, and Regulations:
Generate and distribute reports; gather information and monitor compliance requirements as directed.
Monitor faculty compliance in accordance with UI/UI Health Care requirements.
Gather informational updates on a regular basis and communicate delinquencies with Divisional Administrators.
Strategic Planning Program Development Implementation:
Gather data as directed. Support with implementation of Human Resources initiatives.
Participate in strategic planning, development and implementation of faculty recruitment and onboarding.
Provide requested data as needed and contribute to the strategic plan and goals.
Consulting & Communication:
Gather information, evaluate alternatives and respond to inquiries as directed.
Gather information and communication directed to division directors, administrator and coordinators as it pertains to the recruitment and onboarding process.
Identify complex appointment and recruiting requests and subsequent steps – partner with HR Generalist, Division and Department leadership, and Faculty Affairs staff to support necessary requirements.
Attends monthly Faculty HR Rep meetings. Responsible for ensuring relevant updates, key information, and process changes are appropriately communicated at a department level. Ensure key faculty process deadlines are adhered to.
Human Resource and Financial Management:
Gather human resources information as directed including compliance information, faculty data and timeline.
Follow general policies and procedures in accordance with the regulations of The University of Iowa College of Medicine and the Department of Internal Medicine.
Perform other duties as assigned.
Qualifications:
- A Bachelor's degree in Human Resources Management or Business Administration or related field, or an equivalent combination of education and experience is required.
- Some (6 months – 1 year) human resources experience is required.
- Excellent written and verbal communication skills are required.
- Proficiency in Microsoft Excel and other computer applications is required.
- Strong attention to detail and organizational skills are required.
- Demonstrated experience working in a high-volume, fast-paced environment is required.
- Working knowledge of state and federal regulations affecting human resources is desirable.
- Prior experience in a hospital and/or academic medical setting is desired.
- Demonstrated knowledge of effective strategies for working with faculty, staff, and students from a variety of backgrounds and perspectives.
