Contribute to the success of the UI College of Pharmacy, University of Iowa Pharmaceuticals by providing administrative support of the office’s daily operations. This position may require advanced knowledge and expertise in specific administrative functions and software. Independent judgment and initiative are required to plan, prioritize, and organize varied workload. Duties to include:

Operational Support and Management
• Maintain various office machines and troubleshoot equipment, initiate service calls when needed.
• Assist members of office staff with maintaining office supply inventories and ordering as needed.
• Follow Standard Operating Procedures as they apply to position and office environment.

Human Resources
• Coordinate new office employee on-boarding process.
• May supervise student employees when necessary.

Financial Responsibility
• Assist members of the office staff with payment processing for expenses.
• Responsible for initiating purchases for trade shows and conferences.
• Monthly reconciliation of personal Procurement Card vouchers.

Strategic Planning
• Understand and adhere to the Mission, Vision and Core Values of the College of Pharmacy and UI Pharmaceuticals.

Information Management
• Generate a variety of reports as requested by UI Pharmaceuticals management.
• Manage records retention of reports generated by the analytical laboratory.

Communications Management
• Under general supervision, serve as the primary department contact for inquiries and/or requests for service. Evaluate the purpose of the contact and respond by providing information, which may cover policies, procedures, or department services and/or capabilities.
• Compose and distribute email announcements from the office.
• Serve as a liaison between the office and other service departments within the university through the use of a variety of modes to a wide range of constituents requiring accuracy, discretion, judgement, and organization.
• Manage and maintain the schedules for both the Managing Director and Chief Operations Officer of UI Pharmaceuticals.

University of Iowa Pharmaceuticals is a Food and Drug Administration-registered pharmaceutical manufacturing facility, providing expertise in contract pharmaceutical development services to clients around the world. This is an exciting time to join UIP, as the business continues to grow in capabilities, new clients and revenue. In 2020 the College of Pharmacy will be moving into a new $96.3 million College of Pharmacy building. The lower level of this new building will be home to the UIP new sterile products manufacturing area which will be approximately 16,000 square feet and will increase UIP batch size capacity approximately 5-fold to 20,000 vials/batch.

Education Requirement

• Bachelor’s degree in an appropriate discipline or related field or an equivalent combination of related education and experience.

Experience Required

• More than one-year related office administration.
• Experience managing multiple concurrent objectives and tasks while making effective judgments to the priorities of time and resource allocation.
• Ability to work independently and demonstration of self-motivation for assignment completion.
• History of accuracy and attention to detail.
• Working proficiency with Microsoft Office applications or equivalent software, including calendar and email desktop tools.
• Written and verbal communication skills; ability to effectively transmit, receive, and accurately interpret ideas, information and needs through appropriate communication methods and behaviors.

• Knowledge and experience with university policies, procedures as related to position.
