The College of Dentistry’s, Iowa Institute for Oral Health Research (IIOHR) has an opening for a full-time Research Support Specialist responsible to support research activities in the Iowa Institute for Oral Health Research and the College of Dentistry by reviewing funding opportunities; assisting in grant proposal preparation and submissions; pre-award and post-award administration and submission; and operational and regulatory compliances with UI policies, state, and federal laws for a complex and broad category of opportunities and faculty backgrounds.  For a full job description, please send an e-mail to

Grant Exploration and Development

  • Prepare, navigate and administer grants and contracts (including NIH grants, private industry, foundations, and academies).
  • Support multiple research studies and proposal applications simultaneously.
  • Review sponsor submission guidelines for submission compliance and inclusion materials.
  • Prepare and recommend budgets for application process.
  • Assist, prepare, and upload files for Cayuse submission and other electronic submission mechanisms.
  • Prepare and submit Routing Forms.

Post-Award Administration/Financial Responsibility

  • Verify terms and conditions of all external awards.
  • Resolve post-award issues including regulatory compliance and other administrative issues.
  • Process investigator/HR efforts on external sponsor awards.
  • Assist in preparation & submission of annual progress reports (including RPPR’s) to external sponsors.
  • Prepare JIT documents and verify inclusion of all required documents.
  • Prepare and process outgoing subaward contracts for PI awards.
  • Independently prepare and submit financial and material reports and schedules for individual faculty, the University, and granting agencies.
  • Monitor budgets, establish fiscal controls, prepare fund allocations to comply with internal and sponsor deadlines.   Prepare financial summary reports monthly.
  • Analyze, monitor and report financial data, information and reports utilizing University databases, BI reports, SA3’s, Grant DSS, & EFR’s.
  • Initiate and/or approve routine financial transactions.


  • Monitor expenditures for compliance with contract/grant terms in accordance with agency spending policies, sponsor policies, University policies, and state and federal policies.
  • Perform specialized queries of expenditures not passing through workflow, then review for approval based on various funding agency spending requirements.
  • Monitor and approve expenditures against fund allocations for a variety of award types & prepare adjustments accordingly.

Operational/Administrative Support

  • Perform other administrative support tasks in support of the research projects (e.g. organize and facilitate meetings/events and respond to inquiries).
  • Provide administrative support for award closings at Project End Dates with GAO.
  • Assist with faculty orientation and education of new sponsor and University electronic processes.

External Communication and Negotiations

  • Liaison with external funding agencies related to supporting the research.


  • May provide functional supervision to staff and students.



Research Support Specialist – PRM2 (Regular P&S)

College of Dentistry – Iowa Institute for Oral Health Research (Dental Research) (Iowa City, IA)

Salary:  $42,984 to commensurate (Pay Grade:  4A)


Schedule:  Monday – Friday, 8:00am – 5:00pm


  • Bachelor’s degree in Accounting or equivalent, or an equivalent combination of education and experience.
  • 1 – 3 years relevant experience working with externally funded grants and grant submissions.
  • Excellent written and verbal communication skills.


  • Experience with NIH Grants policy and procedures.
  • Experience with Cayuse proposal submission system.
  • Experience with NIH eRA Commons as a delegate.
  • Experience with University of Iowa Routing Forms.
  • Experience with NIH RPPR’s.
  • Experience with NIH Training Grants and Training Grant Tables.
