The University of Iowa College of Dentistry is seeking a Secretary to join our office of Academic Affairs! In this role you will be providing high level clerical support to the Assistant Dean of Academic Affairs. Including coordinating meetings, managing documentation, and assisting in event planning. Responsibilities:

Curriculum Review Operations

·         Coordinate curriculum review activities and documentation.

·         Compile and validate assessment data and curriculum reports.

·         Maintain curricular records for accreditation and program planning.

Attendance Tracking, Data Coordination, Analysis & Reporting

·         Track student attendance and communicate compliance concerns.

·         Collect, organize, and maintain academic and assessment data.

·         Generate routine and ad hoc reports for leadership and committees.

Curriculum Alignment & Faculty Development Support

·         Coordinate curriculum alignment seminars and faculty calibration activities.

·         Manage learning management system content and participation tracking.

·         Maintain faculty development records and accreditation documentation.

Exam Coordination & Educational Technology Support

·         Train and support faculty in examination software and assessment tools.

·         Coordinate electronic exam administration and quality assurance processes.

·         Assist with OSCE planning, logistics, and implementation.

Financial & Budgetary Coordination

·         Track expenditures, reconcile purchases, and maintain financial records.

·         Process invoices, reimbursements, and procurement requests.

·         Coordinate ordering of instructional materials and office supplies.

Committee & Governance Support

·         Coordinate committee meetings, agendas, and supporting materials.

·         Record minutes, track action items, and maintain committee records.

·         Manage follow-up communications and governance documentation.

Academic Events, Communications & Operational Support

·         Coordinate academic events, faculty development programs, and meetings.

·         Manage academic communications, announcements, and shared email accounts.

·         Maintain web content, schedules, and operational documentation.

 

Secretary III – GB52 (Merit)

College of Dentistry – Office of Academic Affairs

Salary:  $44,557.92

Typical Schedule:  Monday through Friday 8:00 am to 5:00 pm

                                     May require occasional overtime.

MINIMUM ELIGIBILITY REQUIREMENTS:

·         Any combination of related clerical office experience related undergraduate education and/or post high school clerical training that is equivalent to four years of full-time employment and includes the use of word processing.

Desirable Qualifications:

·         Experience providing administrative or operational support in a higher education, healthcare, or similarly complex environment.

·         Demonstrated written, verbal, and interpersonal communication skills, including the ability to prepare correspondence, reports, agendas, and meeting/promotional materials.

·         Demonstrated organizational skills and ability to manage multiple priorities and deadlines.

·         Demonstrated attention to detail and ability to maintain accurate records and documentation.

·         Experience coordinating virtual and in-person meetings, committees, events, or projects involving multiple stakeholders.

·         Experience collecting, organizing, maintaining, and reporting information using databases, spreadsheets, survey tools, or other electronic systems.

·         Experience supporting purchasing, budgeting, reconciliation, or financial recordkeeping activities.

·         Experience working with learning management systems, assessment platforms, or other enterprise software systems.

·         Experience maintaining confidential information and records with discretion.
