Assumes stand-in role during the Supply Chain Manager absences. Supervises first shift staff and oversees workflow and priorities for Processed Stores hospital distribution, SRF Storeroom, SRF dock operations, the Mailroom, and the ISC Case Cart truck drivers.  Acts as liaison between hospital Processed Stores, CSS, PVI Supply Chain, Clinics (offsite & in-house), Procedure Suites, OR’s, In-patient Care Units, IRL, and the University of Iowa Fleet Services and Purchasing. Collaborates with Processed Stores Supply Chain Coordinators located at the Logistics Management Center to ensure workflow synchronization and prioritization between the hospital and offsite operations. This position will be scheduled Sunday-Thursday, 11:00 PM to 7:30 AM.

Procure and deliver goods and services:  Serve as a technical expert in supply chain logistics operations including strategic planning, value assessment, implementation, and communications. Evaluate outcomes and execute change as necessary. Instill best practices within the unit.

  • Coordinates all product deliveries for the institution that come in from LMC, FedEx, and Vendors.
  • Responsible for overseeing hospital storeroom and hospital supply distribution operations.
  • Prioritizes Omnicell cabinet needs and implements necessary changes to ordering/delivery times.
  • Coordinates inventory resupply for SRF Storeroom from the LMC offsite warehouse.

Inventory Management and Marketing:  Adjust inventory, make recommendations, and implement change to avoid obsolescence and maximize value to achieve departmental goals. Monitor and address inventory issues as liaison between Processed Stores, Procurement Services, and the product end user. Address conflict of product demand and supply availability given physical storage constraints and vendor production and delivery capabilities. Suggest and implement sourcing and replenishment strategy.

  • Develop and maintain inventory in collaboration with end user and vendor stated needs, overseeing stock inventory levels, and develop tools for stock management and replenishment.
  • Identify opportunities and develop initiatives and efficiencies in current practice/processes.
  • Reviews usage reports from Omnicell and Peoplesoft, track product stock outs, and make par level recommendations accordingly.
  •  Provide guidance for SRF Storeroom cycle counting and related inventory adjustments.

Vendor and Customer Relations:  Implement strategic processes for improved mutual understanding of vendor and customer perspectives and needs. Make recommendations to management for seamless transactions. Proactively identify and resolve quality and availability issues between vendor and customer.

  • Ensure all customer service calls and emails are answered.
  • Communicates with Procurement and user departments as needed to solve supply related issues.
  • Works with customers to identify product needed, obtain the correct PeopleSoft number, assist with ordering the product and delivery to the unit.
  • Respond to product recalls, investigate lot numbers and production dates, and quarantine inventory as required.

 Data Management or Data Systems Development:  Assist in development and oversight of data needs and software performance. Make recommendations to management and present models for improvement.

  • Recommend changes in software specifications. Manage and analyze data to enhance inventory management.
  • Educates Staff on upgrades or changes to PeopleSoft and Omnicell systems and answers questions.
  • Train new staff members on how to utilize appropriate screens and reports found in our materials management systems. Ensure staff effectiveness at providing efficient customer assistance.

Fiscal Responsibility:  Oversee and recommend budgetary adjustments. Develop cost saving strategies and present to management. Assure financial reconciliations and transactions are in accordance with UI policies and procedures.

  • Investigate large inventory discrepancies, locate missing product, or, for lost product accurately adjust item balances in electronic inventory system to appropriately charge out for products.

Leadership/Supervision:  Provide input on staff hiring decisions, develop and manage the performance of staff. Provide functional and/or administrative supervision of staff. Oversee the direction, assignments, feedback, coaching and counseling to assure outcomes are achieved.

Required Qualifications:

  • Bachelor’s degree in Business Administration or related field, or an equivalent combination of education and experience.
  • 3-5 years of experience with supply chain logistical management processes.
  • At least one year of supervisory experience.
  • Excellent written and verbal communication skills.
  • Proficient in MS Office Suite with an emphasis on Microsoft Excel.  
  • Excellent interpersonal skills. Create working relationships with team members, caregivers, vendors, etc.

Desired Qualifications:

  • Knowledge of University policies, procedures, and regulations.
  • Ability to effectively multi-task, keeping multiple initiatives moving forward simultaneously.
  • Experience with SPM, PeopleSoft, Epic, Qtrak and Omnicell.
  • Experience managing and scheduling student employees
