Support Services Specialist, Health Information Management Department, Emergency Services Division, University of Iowa Health Care, Health Care Support Services Building (HSSB)

The Department of Health Information Management at the University of Iowa Health Care is seeking a full-time, Support Services Specialist.  This position will be responsible for medical record activities with primary duties to include releasing, scanning, importing and faxing confidential patient medical record information.

This position location is in Coralville, IA and eligible to participate in remote work.  Remote work must be performed at an offsite location within the State of Iowa.  Training will be held ONSITE at the Health Care Support Services (HSSB) building at a length determined by the supervisor.  Remote eligibility will be evaluated upon a satisfactory job training and meeting required performance standards. Successful candidates must comply with requirements of the remote work program and related policies. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location. Successful candidates will be required to self-disclose any conviction history and will be subject to a criminal background check.

Schedule: Monday-Friday 12:00-8:30pm, Saturday & Sunday 8:00am-4:30pm

Annual Salary: $42,392.00 to commensurate

Key Areas of Responsibility

  • Process release of information (ROI) requests for patient protected health information (PHI) for requesters and facilities outside UI Health          Care

  • Process release of PHI in accordance with State and Federal laws, HIPAA Guidelines, and UI Health Care policies and regulations

  • Record receipt of ROI request and associated activities to process ROI request in Epic Release of Information Tracking System

  • Forward ROI requests for PHI to other UI Health Care departments to ensure ROI processing of completed request

  • Create audit trail of ROI requests forwarded and completed by other UI Health Care departments who process a portion of ROI request              within the Epic Release of Information Tracking System

  • Communicate and follow up with clinical departments and providers regarding incomplete or missing medical record documentation

  • Answer telephone calls via Avaya phone system

  • Accurately scan or import medical record documents into Epic

  • Request medical records via Medical Records Tracking System in Epic, to include request of records from off-site storage vendors

  • Process and respond to Epic MyChart InBasket messages to ROI requests, patient questions or complaints, forward messages to                            appropriate departments or divisions for follow-up

  • Performs other projects and tasks as assigned

 

As part of performing the key areas of responsibility and competencies described above, staff members are expected to meet reasonable standards of work quality and quantity, as well as expectations for attendance established by their supervisor.  Staff members are also expected to comply with policies governing employee responsibilities and conduct, including those contained in the University Operations Manual.

Qualifications

Education Required:

A bachelor’s degree in health information management, business administration or the equivalent combination of education and experience is necessary.

Experience Required:

·         One year experience working with medical records and health information

·         One year customer service experience

·         Knowledge and understanding of medical terminology

·         Knowledge and proficiency with computer applications, i.e. Microsoft Office Suite, Teams, Zoom

·         Excellent verbal and written communication skills

·         Knowledge of copier machine and fax machine utilization

 

Desirable Qualifications:

·         Three or more years working with medical records and health information

·         Three or more years of customer service experience

·         Knowledge of release of information state and federal laws and HIPAA Guidelines

·         Experience processing release of information requests

·         Knowledge of U Health Care medical record and health information functions

·         Knowledge and use of Epic Release of Information tracking system

·         Knowledge and use of Epic Medical Records tracking system

·         Knowledge of UI Health Care policies and procedures

·         Certification as RHIT or RHIA through nationally recognized credentialing body
