The University of Iowa Department of Obstetrics and Gynecology is seeking an Administrative Services Coordinator. The Coordinator provides administrative services through the coordination and support of operations. Key areas of responsibility include operational, information, and communication management. This position requires excellent time management, a high level of independent thinking, judgment and the ability to prioritize.  Will act as a liaison between faculty, key leaders and senior staff and be responsible for furthering the goals and objectives of the programs supported.

 

This position is eligible for hybrid work within Iowa after 6 months and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

Position Responsibilities:

  • Review all grant documents in accordance with sponsor guidelines
  • Route all grants to sponsored programs in a timely fashion and help assist with questions from Division of Sponsored Programs
  • Complete online portals for grant submission (Cayuse, Proposal Central, iowagrants.gov)
  • Upkeep support documents in accordance with sponsor guidelines
  • Search for possible grant opportunities for faculty/clinical researchers
  • Keep National Institutes of Health tables up to date and in accordance with sponsor guidelines
  • Upload/format manuscripts
  • Add references to grants using EndNote
  • Track deadlines and upload progress reports
  • Track and tag equipment purchased on grants
  • Coordinate and attend meetings for project leads
  • Record and maintain detailed meeting minutes for project leads and program manager
  • Assist with travel coordination, venue selection, and procurement reconciliation for project team members
  • Complete payments to external participants and subject matter experts involved in project collaboration
  • Identify and secure appropriate translational services for projects
  • Assist with development of surveys, marketing materials, and resources for community and healthcare partners
  • Assist with website maintenance and regular communication with maternal health stakeholders
  • Other duties as assigned 

Required Qualifications:

  • Bachelor’s degree in Business Administration or related field, or an equivalent combination of education and experience.
  • 1 - 3 years of experience in an administrative support role for academic medical faculty and leadership
  • Proficient in Microsoft Office suite (Word, Excel, Power Point, Outlook)
  • Working knowledge of web-based tools, databases, and internet searches
  • Superior written, verbal, and interpersonal communication skills
  • Demonstrated experience in providing superior customer service in an academic environment
  • Demonstrated exceptional attention to detail, planning, and follow-up skills
  • Demonstrated independent thinking skills to develop alternative solutions and solve problems
  • Ability to foster a welcoming and respectful work environment
  • Ability to initiate and take independent action while working as part of a team
  • Ability to proactively establish priorities and meet deadlines

Desired Qualifications:

  • Knowledge of University of Iowa Policies and Procedures
  • Experience with University of Iowa financial systems
  • Experience with grant-funded programs
  • Experience with complex scheduling
  • Knowledge of women’s health
