Admin Services Specialist - Children's and Women's Services
The Department of Nursing, Children's and Women's Services Division at the University of Iowa is seeking an Administrative Services Specialist that will provide data analytic support to all of CWS Leadership. Develop and maintain data tracking systems and complete special projects and other administrative responsibilities requiring discretion, independent judgment and a high degree of customer service. Position requires a high level of autonomy, including critical thinking skills, planning, organizing and monitoring daily activities.
Position Specific Duties
· Led team on divisional projects. Communicate to committee heads with suggested improvements and requests
· Manage purchases, replacement and distribution of workstations and clinical workstations. Work directly with HCIS for forecasting needs, purchasing and scheduling replacement of computers as needed
· Coordinate and manage annual capital inventory for CWS and designated SFCH areas. Meet with state auditor as required to identify equipment on site
· Coordinate and manage data requests for colleagues writing articles, reports, grants and journals for publication and distribution
· Develop monthly reports and distribute financial operation, revenue, staffing, agency, expenses and worked/non-worked reports to managers and directors of CWS.
· Produce data reports as requested by the CNO, Director, Assistant Directors, Manager, Assistant Managers, and other leadership
· Provide supervision to staff, offering direction, assignments, coaching and counseling
· Request, recruit, hire, develop and manage the performance of students and staff
· Manage scheduling to ensure adequate staffing during business hours, fill gaps as necessary
· Assign and manage annual eval support for all CWS units
· Manage CWS clerical handbook for all positions within CWS administration office
· Payroll -assist with pulling reports in ELMS supporting unit operations and financial measures
· Other Duties as assigned
Percent of Time: 100% 100%
Work Schedule: Monday – Friday, 40 hours/ week, 8 hour day shift
Pay Grade: 3B

REQUIRED QUALIFICATIONS
A Bachelor's degree or an equivalent combination of education and experience is required.
- Minimum 1-3 years’ administrative/clerical experience
Demonstrated effectiveness in written and oral communication to a variety of constituencies while maintaining confidentiality standards
- Excellent written, verbal, interpersonal communication, and customer service/public contact skills
Superior attention to detail and experience with data generation, analysis and reporting
- Demonstrated ability to work independently to complete multiple projects and meet deadlines
- Proficient skills in computer software applications such as Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat is required.
DESIRABLE QUALIFICATIONS
Previous experience with dashboard and other data reporting software systems
Previous supervisory experience.
- Knowledge of University of Iowa Health Care policies, procedures and regulations.
