Administrative Services Coordinator
The Administrative Services Coordinator will serve as the primary administrative support for operations in the Dean’s Office and Office of Student Service suite, overseeing the front desk coverage, serving as primary point of contact, providing a welcoming environment, establishing, and maintaining effective working relationships with faculty, staff, students, and visitors to the College of Education. The Administrative Services Coordinator will be responsible for providing operational support for the Dean’s office and the Office of Student Services and to administrative units reporting to the Dean’s office.
The responsibilities of this position require problem solving, discretion, and independent judgement.
Location: Full-time position on-site in the College of Education, Lindquist Center.
Specific Job Duties and Tasks
- Responsible for front office area. Greet visitors in a welcoming and professional manner. Answer questions or refer to appropriate other areas for assistance. Inform the Dean or other staff when appointments have arrived for meetings.
- Coordinate office coverage with other staff in the dean’s office.
- Answer the Dean and main office telephone lines. Answer questions or refer to appropriate other areas for assistance. Schedule meetings as needed or refer to appropriate other areas.
- Supervisor, train, hire, evaluate, and assign work to student employees.
- Coordinate front desk coverage to ensure 100% coverage during hours when suite is open.
- May assist with financial transactions including procurement card transactions and reconciliation of procurement card statements monthly and reconciling accounts for the dean.
- May work with USS to create trips and coordinate travel arrangements for the Dean.
- Develop and revise departmental informational materials for distribution.
- Collecting rosters for student organizations and advisory board members and maintain lists.
- Coordinate first point of contact for constituents seeking information or services including responding to non- routine inquiries at the front desk.
- Act as front-line liaison with faculty, staff, students, and public regarding inquiries and requests, requiring discretion and independent judgment.
- Communicate through a variety of modes to a wide range of constituents, requiring accuracy, discretion, judgement, and organization.

Education Requirement:
- A Bachelor’s degree or an equivalent combination of education and experience is required.
Required Qualifications:
- Experience working in an office setting with a strong customer service focus, administrative processes and associated operating requirements; ability to apply this knowledge appropriately to a variety of situations. Experience typical of one-year relevant work experience.
- Working knowledge of and ability to use office support tools available on the desktop (e.g., word processing, e-mail, presentation software and spreadsheets).
- Ability to work with and build effective relationships with a variety of individuals and groups in a constructive and civil manner while appreciating the unique contribution of individuals.
- Demonstrates excellent verbal and written communications skills; ability to effectively transmit, receive, and interpret ideas, information, and needs through appropriate communication methods and behaviors.
Desired Qualifications:
- Experience working in an academic environment.
- Knowledge of university policies, procedures, and regulations.
