The Division of World Languages Literatures and Cultures is seeking an Administrative Services Coordinator.

The Administrative Services Coordinator will work closely with the Departmental Administrator, DEOs, faculty, staff, and students in the program and departments to coordinate administrative tasks to ensure efficient operations throughout the office.

Key Responsibilities

  • Serve as the coordinator and main point of contact for the Phillips Hall administrative office.
  • Support the daily operations of an office, project or program, including coordination of specialized events and activities, monitoring appropriateness of expenditures, contract or grant requirements, and changes in policies and procedures.
  • Serve as Building Coordinator for Phillips Hall, including execution of special project, responding and prioritizing need and repair request for proper building maintenance, including creating and maintaining O&M timelines for standard upkeep. Departments’ liaison with ITS local representative.
  • Make decisions and exercise a moderate level of autonomy while typically performing administrative support/ management responsibilities for executives of an organization (e.g., Deans, Directors, DEOs, VPs), including managing schedules, correspondence, and travel arrangements.

Education Required

  • A bachelor’s degree in business administration or a Liberal Arts discipline in hand by start date; or an equivalent combination of education and experience.


Required Qualifications

  • Typically 0-6 months of administrative work experience.
  • Experience with a variety of desktop tools and apps, including MS Office Suite. Willingness and ability to learn new software platforms as needed.
  • Excellent written and verbal skills, as demonstrated at the working proficiency level.
  • Demonstrates strong attention to detail and problem-solving skills.
  • Demonstrated ability to work as part of a team.


Desired Qualifications

  • Demonstrates working ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgments as to prioritizing and time allocation.
  • Basic knowledge of University policies, procedures, and systems or willingness to learn.
  • Demonstrates working knowledge of and ability to utilize tools, techniques, and processes for supporting the daily operations of an office.
