The School of Journalism & Mass Communication within the College of Liberal Arts and Sciences (CLAS) is seeking an Administrative Services Specialist.

This position is responsible for administrative, academic, and supervisory support in the School of Journalism and Mass Communication, and requires a high degree of discretion and independent judgment. In addition, the position provides administrative support to the Director and is the primary administrative contact for the school’s Professional Advisory Board. 

This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

Key Responsibilities

  • Makes decisions and exercise a high level of autonomy while typically performing administrative support/management responsibilities for the Director of the School of Journalism and Mass Communication (SJMC), including managing schedules and correspondence.
  • Assists with assuring compliance with various polices or procedures to support accreditation efforts.
  • Exercises knowledge of HR policies and procedures.
  • Manages hiring and onboarding process for adjunct faculty in SJMC, Communication Studies, and Rhetoric.  
  • Manages professionals-in-residence/visitor budgets, visit arrangements and payments to guests.
  • Assists with organizing site visit for accreditation.
  • Informs faculty, staff, and students of important departmental and university-wide events, deadlines, and policies through email communication.
  • Manages communication and coordination of the school’s Professional Advisory Board.
  • Plan and execute specialized events within the School of Journalism (Professional Advisory Board, annual Hall of Fame luncheon).
  • Coordinate faculty reviews, including promotion and tenure and contract renewals for the School of Journalism, Communication Studies, and Rhetoric.

Education Required

  • Bachelor’s degree or an equivalent combination of education and administrative work experience is required.

Required Qualifications

  • Some (2-3) years of administrative experience is required.
  • Demonstrated experience planning and executing complex events.
  • Strong attention to detail and problem-solving skills.
  • Extensive knowledge of, and ability to utilize, Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams, etc.) and data collection mechanisms including, but not limited to databases, Qualtrics, etc.
  • Demonstrated extensive knowledge and application of oral and written communication skills.

Desired Qualifications

  • Experience working with University systems including knowledge of University policies and procedures.
  • Administrative experience in a higher education setting.
