Assistant to the Departmental Executive Officer – Department of Physics & Astronomy

The Department of Physics & Astronomy at the University of Iowa has an outstanding opportunity for a dedicated and organized individual to join our team as the Assistant to the DEO (Departmental Executive Officer, or Department Chair).
Key Responsibilities
Operational Support and Management
- Make decisions and exercise a high level of autonomy while typically performing administrative support/management responsibilities for DEO of Physics & Astronomy, including managing schedule, correspondence, and travel arrangements.
- Coordinate Faculty, Director and Executive Committee meetings; distribute agenda and take meeting minutes.
- Schedule faculty candidate visits, including arranging travel and lodging.
- Plan and execute special events, faculty receptions, etc., serving as the main contact for the event and coordinating with internal and external individuals and/or organizations to arrange catering, audiovisual support, etc.
Faculty Promotion and Tenure
- Coordinate promotion and tenure process. Advise faculty undergoing review or promotion on department and collegiate procedures related to the review or promotion; consult with DEO, Administrator or CLAS Faculty Affairs Director and/or CLAS Faculty HR Rep on complex or unusual situations.
Financial Responsibility
- Reconcile and monitor various accounts, investigate irregularities, produce financial reports.
- Oversee purchasing of supplies and services.
Information and Communications Management
- Collect, manage, and update information across different media channels and for a variety of departmental stakeholders.
- Coordinate with marketing and outreach teams and other staff to develop print, website, newsletter, and social media content.

Education Required
- Bachelor’s degree or equivalent combination of education and experience.
Required Qualifications
- Minimum 1 year of experience in an administrative or executive support position, including accounting.
- Proficiency with Microsoft Office Suite/Office 365.
- Strong organizational skills, excellent written and verbal communication skills.
- Demonstrated ability to organize and prioritize multiple tasks; ability to multi-task and work as a team.
Desired Qualifications
- Knowledge of University policies, procedures, and regulations, especially procedures and policies pertaining to faculty review, promotion and recruiting.
- Proficiency in UI systems including ONESolution (UICA Dashboard), Symmetry Enterprise for Central Stations (AMAG) and other systems including MAUI, ICON, InfoBank, P-Card, ProTrav, Ebuy, Edeposit, and ProView).
