The University of Iowa Health Care department of Guest Services, is seeking a Dispatching Clerk . This position will be full-time with a primary schedule of 8:00a.m to 5:00p.m. Monday-Friday. Under general supervision and demonstrating exceptional customer service and communication, manages the daily flow of Patient Transport requests for Guest Services. Organizes and appropriately dispatches requests daily within UI Health Care for patient transports and wheelchairs. Answers phone calls from staff, patients, and visitors which may include providing directions and information on hospital services and amenities in compliance with hospital policies. Duties involve the use of Epic, Microsoft Office and other computer applications, mobile phones, and a variety of software and/or conventional office equipment.
CHARACTERISTIC DUTIES AND RESPONSIBILITIES:
- Provide excellent customer service to patients, families, guests, and staff, maintaining a positive and professional attitude at all times.
- Utilizing excellent communication skills: relay relevant information and give direction to staff daily and provide information/assistance for staff, patients, and guests on the telephone and in person.
- Answer phone calls and provide appropriate responses, following customer service standards. Log calls and manually enter requests as needed. Make and transfer phone calls to appropriate parties when necessary.
- Problem solve effectively and make decisions independently when necessary, using department resources and guidelines to answer questions.
- Skillfully navigate computer and secure phone software including Epic (functionalities including but not limited to Transport Command Center and secure chat), Microsoft Office, Globo (for Interpreting Services) and operate office equipment. Guide staff in the use of these applications as well.
- Properly dispatch requests to Patient Transporters (and on a smaller scale the Centralized Equipment Distribution team) following department and hospital guidelines and policies.
- Responsible for recognizing malfunctions in secure phones, radios, and pager units providing assistance in resolution or initiating repairs.
- As needed, assist with onboarding and training new staff on relevant skills.
- Work with department leadership to ensure smooth and efficient functionality of the Patient Transport process.
- Complete required compliances and training.
- Maintain professional work ethic while working independently or with a team.
- Maintain a neat and clean work environment.
- Perform other projects and duties as assigned.
MINIMUM ELIGIBILITY REQUIREMENTS:
- Graduation from high school and any combination of clerical experience, health care experience and/or post high school education which totals one year, or
- Any combination of clerical experience and/or health care experience which totals two years.
Desired Qualifications: Ability to demonstrate exceptional service excellence with every staff member, patient, and guest in a fast-paced environment. Must have good communication skills, pay attention to detail, and be able to prioritize multiple tasks. in person and on the telephone. Mu st be able to demonstrate a professional presence. Must have skill in using technology including various computer software and operation of basic office equipment is required. Must be able to sit for long periods of time.
