This position will support the growth of the University of Iowa Patient Access Center (UI PAC) and the UI Health Care enterprise by developing and managing patient access through provider scheduling templates. This position will support the UI PAC by leading the development and monitoring of provider templates for all departments as assigned at UI Health Care.

An IT consultant in this role will serve as a primary point of contact for the clinical departments supported and be considered a subject matter expert in provider template build and best practices. This position will assist with monitoring day to day team business expectations under the direction of the IT Consultant Manager. This position will assist the manager with communicating new policies, guidelines, and expectations to ensure understanding across the clinics the team supports. An individual in this role will analyze, design and implement scheduling protocols by building system tools to create scheduling solutions based on clinic needs and patient access goals. This position will monitor provider schedules to ensure the provider templates support UI Health Care’s growth needs through ongoing template analysis. This position will create decision trees and other advanced build in the Epic system as needed. The individual in this position will support and promote scheduling best practices through the team’s work on the template optimization project. This position will act as a scheduling liaison, promoting template best practices. They will serve as a mentor, coach, role model, and service excellence ambassador for staff, co-workers, patients, and visitors. This position may perform other duties as assigned.

*This position is eligible to participate in hybrid work. Hybrid work must be performed at a location within the state of Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.

  • Act as a scheduling liaison, promoting the organization’s template best practices
  • Uphold the guidelines within the template management policy
  • Work request tickets from end users for provider template build, maintenance and project requests, advising ticket submitters on best practices
  • Assist end users to troubleshoot system issues as it relates to template build, provider schedules, visit types, workflow inefficiencies and more
  • Collaborate with peers and co-workers to enhance the delivery of health care
  • Provide advanced one-on-one guidance, consultation and training to support end users
  • Work to translate technical terminology and communicate to end users
  • Apply strong problem-solving and analytical skills to daily assignments and projects
  • This position will serve as a point of contact and be considered a subject matter expert on template design
  • Develop training documents and educational presentations to assist end users with understanding technical issues, system tools and best practices
  • Develop and monitor the provider templates for all departments assigned
  • In combination with the operations managers, provide support, feedback, coaching and counseling to team members to assure outcomes are achieved
  • Assist with assigning and auditing system build work as needed
  • Assist with project support and self-managing small and medium sized projects
  • Complete and maintain Epic Cadence certification during employment
  • Actively work to obtain additional application badges, credentials and expertise
  • Gain and maintain awareness of health care industry and technical trends, foster a culture of system enhancement and optimization
  • The individual in this role should have a passion for areas such as design, workflow analysis, build, training, implementation, testing and support
  • Must conduct all interactions using strong customer service skills, strong communication is essential
  • May perform other duties as assigned

Required Qualifications:

  • Bachelor’s degree or equivalent combination of education and experience.
  • Experience working with the Epic system, or an electronic medical record
  • Excellent written and verbal communication, which includes presentations and public speaking
  • Experience communicating technical information effectively to technical and non-technical staff at the verbal, written and presentation levels
  • Demonstrated job-related or equivalent experience in data capture, management, and use of reports to inform recommendations which align with desired organizational outcomes
  • Experience with Microsoft Office tools
  • Ability to work in a fast-paced environment balancing multiple priorities and projects to meet expected deadlines

Desired Qualifications:

  • Experience with hospital operations and/or Ambulatory Clinic operations or similar experience
  • Medical scheduling experience
  • Demonstrated experience working with end-users to define system needs to support necessary medical office operations or equivalent experience
  • Understands medical office business needs and understanding how to convert those needs into functional/technical scheduling system tools to meet or enhance medical office workflows or similar experience
  • Epic certification and applied work experience in Cadence, Prelude, or other Epic applications
  • Demonstrated knowledge of and experience with basic project management
  • Knowledge of UI Health Care policies, procedures, and regulations
  • Experience working with vendors to analyze system and integration requirements to meet medical office needs
  • Completion of the Epic Decision Tree Badge
  • Completion of the Epic Data Courier Mover Badge
