The University of Iowa Hospitals and Clinics, Department of & Visual Sciences is seeking a 100% Ophthalmology Clinic Supervisor (PVD3; 5A). The Ophthalmology Clinic Supervisor provides leadership, education and training for all certified and non-certified ophthalmic technicians and scribes in the Department of Ophthalmology & Visual Sciences, facilitates intervention of difficult/complex and/or triage situations in consultation with clinic leadership  manages processes for clinic equipment repair and reporting, receives and re-stocks clinic supply orders, and utilizes specialized knowledge, practice, and expertise to dictate provider room utilizations and clinic flow with a high visibility and interaction with ophthalmic technicians, faculty, and staff. 

POSITION RESPONSIBILITIES

CLINICAL/TECHNICAL SERVICE & PATIENT CARE

  • Plans, assesses, and assigns daily provider room utilizations factoring in patient volumes, provider availability, staffing, and clinic space constraints.
  • Generates, maintains, and communicates daily staffing for all certified and non-certified ophthalmic technicians and scribes. Articulates these plans to key clinic stakeholders and adjusts staffing due to call outs, patient flow, etc. in real time.
  • Projects room utilizations.
  • Conducts daily clinic rounds throughout the work day to identify and address immediate staffing concerns, ensuring optimal clinic efficiency and patient flow, and troubleshoots situations.
  • May enter staffing for direct patient care as needed to ensure clinic flow and quality patient care.
  • Models high standards of patient service and supports the performance of each team member.
  • Contributes knowledge and input on budget planning and FTE recommendations for ophthalmic technicians as needed.

EDUCATION

  • Leads and facilitates initial orientation and onboarding of new certified and non-certified ophthalmic technicians. Oversees a team of certified technician preceptors who mentor and assess new technician skill, competency, and performance on an ongoing basis.
  • Maintains and revises orientation material, including content checklist, as needed. Develops and maintains annual staff competencies for the equipment and hands-on skills. Leads and dictates process to ensure annual assessment of these skills.
  • Identifies and investigates potential educational needs. Develops a plan to address these needs through in-servicing, education, and identification of resources for staff.
  • Plans and leads educational content for all technician education delivered on clinical conference days.

COLLABORATION & COMMUNICATION WITH HEALTHCARE TEAM

  • Attends Epic optimization training and assists with roll out of upgrades or changes. Monitors for staff compliance and implements training on any education needs related to Epic and other clinic systems as needed.
  • Provides effective communication and education to all team members through various means of media in a timely and appropriate manner.
  • Collaborates with clinic leadership to assure optimal, efficient patient flow and provider utilization.
  • Communicates to peers and leadership using oral or written reports to enhance services.

COMPLIANCE

  • Maintains clinical equipment records and dictates patterns for maintenance of equipment.
  • Identifies and sends out equipment for repair and servicing.
  • Maintains and coordinates record of return of equipment for clinic use.
  • Acts as receiver for all clinic equipment and supply orders. Coordinates tracking, receipt and re-stocking of these items.

HUMAN RESOURCES MANAGEMENT

  • Determines initial staffing patterns, monitors, and adjusts staffing as needed while ensuring the most effective utilization of staff skill and competency.
  • May enter staffing as needed to ensure optimal patient care.
  • Supervises, coaches, and supports all direct reports. Promotes and inspires a sense of team amongst clinic staff.
  • Provides constructive feedback to direct reports on performance on a regular basis. Conducts annual performance reviews for all direct reports with input from clinic leadership and faculty as needed.
  • Directs, counsels, and supports direct reports on employee relations matters in consultation with Clinic Manager and HR Manager in order to address conflicts while promoting a safe, respectful workplace culture.
  • Manages ELMS records for all direct reports including certified and non-certified ophthalmic technicians and scribes.
  • Partners with department leadership to recruit, screen, interview, and hire certified and non-certified technicians. May serve on other clinic selection processes as needed.

REQUIRED QUALIFICATIONS

  • A bachelor’s degree or equivalent combination of related education and experience.
  • Certification by the Joint Commission on Allied Health Personnel in Ophthalmology (JCAHPO) as an ophthalmic assistant (COA) or qualifications to achieve certification within 18 months of hire.

DESIRED QUALIFICATIONS

  • 1-3 years experience working in an ophthalmology/optometry clinic setting.
  • 1-3 years supervisory experience
  • Demonstrated ability to anticipate needs, problems and potential issues and use judgment, foresight and problem-solving skills to troubleshoot, recommend and implement solutions.
  • Demonstrated record of careful attention to detail and accuracy, strong organizational skills and ability to handle multiple tasks quickly and effectively, proactively establish priorities and meet deadlines.
  • Excellent written and verbal communication skills required including ability to compose communications and grammatically correct communications in a concise, logical and organized manner.
  • Proficient in computer software applications (Microsoft Office Programs)
