OR Scheduler (Support Services Specialist) - Hospital Dentistry, College of Dentistry

The College of Dentistry’s, Department of Hospital Dentistry is seeking an OR Scheduler to support adult and pediatric patients by coordinating complex clinic and operating room schedules. This role serves as a key liaison between patients, providers, and surgical teams, ensuring procedures are scheduled accurately, authorizations are secured, and each patient’s surgical experience is smooth and well-coordinated.
Key Responsibilities
• Coordinate complex scheduling: Schedule clinic visits, operating room cases, and pre- and post-operative appointments using Epic, Optime, Cadence, and axiUm.
• Support surgical operations: Assist with OR master calendars, daily and weekly OR utilization reports, provider call schedules, and adherence to OR scheduling policies.
• Ensure financial and insurance readiness: Verify insurance eligibility, obtain prior authorizations and predeterminations, create treatment estimates, and counsel patients on financial responsibilities.
• Problem-solve scheduling challenges: Manage conflicts, urgent needs, and schedule changes while communicating effectively with providers, staff, and leadership.
• Deliver exceptional service: Serve as a primary point of contact for patients, families, providers, and referring offices, ensuring a seamless and positive experience.
• Collaborate and improve workflows: Partner with clinical and business teams to enhance patient access, recommend process improvements, and support onboarding and training as needed.

Work Location: On-Site - 5th Floor Pomerantz, UI Health Care
Salary: $49,968 to commensurate (Pay Grade: 3A)
P&S Status: Regular
Schedule: Monday – Friday, 8:00am to 5:00pm
May require occasional overtime
Required Qualifications:
• Bachelor’s degree or an equivalent combination of education and experience is required.
• Patient Scheduling Experience for multiple providers in a healthcare environment.
• Proficiency with spreadsheet and word processing computer applications(e.g. Microsoft or Google.docs).
• Excellent written, verbal, and interpersonal communication skills.
HIGHLY Desirable Qualifications:
• Experience coordinating complex appointments across multiple clinics in an outpatient clinic setting.
• Experience with electronic patient health care records/platforms, preferably Epic and/or axiUm.
• Previous customer service experience providing professional, patient-centered support in a fast-paced healthcare or clinical setting.
• Demonstrated reliability in fulfilling work responsibilities to support team and patient needs.
Desirable Qualifications:
• Optime Surgical scheduling experience.
• Dental terminology.
• Knowledge of University of Iowa policies, procedures and regulations.
