Project Support Coordinator, Design & Construction
The University of Iowa Facilities Management, Design & Construction is seeking a Project Support Coordinator. This position provides essential administrative, organizational, and logistical support to project managers as part of an integrated project team assigned to capital improvement projects.
The Project Support Coordinator ensures the efficient operation of integrated project team activities by managing documentation, coordinating communication, assisting with meeting scheduling, tracking progress, and maintaining accurate records and project file information throughout all phases of the design and construction project life cycle.
This position closely collaborates with project management staff that are providing high level project management and comprehensive oversight as the owner’s representative for work being performed by external architects, engineers, contractors, and vendors; and provides critical support and assistance for the successful delivery of capital improvement projects under the department's purview.
Duties to Include:
- Coordinates multiple tasks and prioritization of project related activities. Supports project managers with day-to-day administrative needs for multiple projects at various stages of design and construction. Schedules and coordinates project meetings, site visits, and milestone activities.
- Maintains organized and accurate project file information within D&C’s internal project software management system (Build UI). Prepares, formats, and distributes project documents, including meeting minutes, agendas, reports, and correspondence.
- Facilitates communication for internal project teams, contractors, vendors, and consultants. Drafts professional communications on behalf of project staff, coordinates information flow with stakeholders across departments and ensures timely responses to inquiries.

Required Qualifications:
- Bachelor's degree or equivalent combination of education and experience.
- Professional experience (typically 6 months to 1 year) of related administrative experience supporting multiple individuals in a fast-paced, multi-task environment.
- Experience in an institutional or other complex customer environment.
- Strong written and verbal communication skills.
- Proven organizational skills with strong attention to detail and time management.
- Strong ability to manage and adapt to changing priorities.
- Strong proficiency in computer software applications, including Microsoft Office (e.g. Word, Excel, Outlook, PowerPoint).
- Professional experience working effectively with individuals from a variety of backgrounds and perspectives.
Desired Qualifications:
- Two or more years’ administrative experience related to design and construction industry (preferably in construction, engineering, or project-based environments.
- Experience in higher education facilities management or complex institutional organization.
- Experience with project management or construction management software (e.g. SharePoint, Bluebeam, Build UI, Procore, MS project, and Adobe).
- Proven track record of customer service-based mindset and commitment to organizational stewardship.
