The University of Iowa Healthcare department of Family Medicine is seeking a full-time (100%) Support Services Specialist to:  Provide support in the Department of Family Medicine by managing and coordinating the clinic and call schedules for all faculty providers within the department at all clinic sites and other sites of care.  This also includes managing and becoming a subject matter expert for the provider scheduling program, QGenda.

Position Responsibilities:

  • Plans, organizes, maintains, and coordinates outpatient clinic rotation coverage.
  • Develops monthly schedules for residents’ patient care hours.
  • Coordinates 24-hour on-call and inpatient rotation coverage.
  • Maintains, enters information, and serves as department resource on the automated scheduling program, QGenda
  • Communicates with our offsite clinics with all master scheduling needs.

Required Qualifications

  • Must have Bachelor’s degree or an equivalent combination of education and experience.
  • Must have minimum of 6 months-1 year of administrative support experience.
  • Must have ability to anticipate needs, problems and potential issues and use judgement, foresight, and problem-solving skills to troubleshoot, recommend and implement solutions.
  • Must demonstrate careful attention to detail and accuracy, strong organizational skills, and ability to handle multiple tasks quickly and effectively, proactively establish priorities and meet deadlines.
  • Excellent written and verbal communication skill required.
  • Proficient in computer software applications (Microsoft Office Programs) required.

 

Desirable Qualifications

  • Physician scheduling experience or experience in an academic clinical department, preferably primary care is desired.
  • Previous experience working with ProTrav, APR, and Qualtrics is highly desirable.
  • Proficiency in Epic Cadence and/or Epic template management is highly desirable.
  • Knowledge of University of Iowa policies and procedures is desired.

This position is eligible for hybrid work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually and must comply with the remote work program and related policies and employee travel policy when working at a remote location.
