Tumor Board Coordinator - Cancer Center
The Holden Comprehensive Cancer Center at the University of Iowa is seeking a Tumor Board Conference Coordinator that will provide developmental and administrative assistance and expertise for the various Clinical Cancer Center Tumor Boards and Research Groups at Holden Comprehensive Cancer Center (HCCC).
This position is eligible for a hybrid work arrangement of both on-campus (UIHC) and remote work within the state of Iowa upon completion of a training period, with the majority of work taking place on the U of I/UIHC campus. Per policy, work arrangements will be reviewed annually, and must comply with the remote work program and related policies and employee travel policy when working at a remote location.
Duties to include:
Tumor Board Responsibilities
- Schedule and organize tumor board meetings, including coordinating with physicians, oncologists, radiologists, pathologists, and other healthcare professionals.
- Maintain database for each tumor board including fields such as: patient name, MRN, diagnosis.
- Prepare weekly patient list (agenda) for assigned tumor boards, ensure necessary patient information, imaging and pathology reports are available for review during conferences.
- Attend tumor boards, documenting tumor board attendance, discussions, and decisions through tumor board note in patient’s chart, database updates or draft chart notes; follow up on issues or requests as appropriate.
- Manage Zoom or other virtual meeting platforms, including scheduling, sending invitations, setting up meetings, and troubleshooting technical issues.
- Coordinate the application and distribution of CME credits for eligible participants, ensuring compliance with accreditation requirements.
- Assist in the evaluation of tumor board effectiveness and impact; provide feedback on SOP guidelines, effectiveness, efficiency of HCCC tumor boards.
- Assure conference rooms are reserved and any changes in location communicated to participants in a timely manner; assure appropriate IT equipment is available.
- Assist in the coordination, preparation, and documentation of patients eligible for clinical trials; ensure excellent dissemination of information with clinical research coordinators.
- Assist in coordination and documentation of research group activities.
- Serve as liaison to clinicians, research investigators, data managers, nursing services staff, pharmacists, and medical personnel to insure sufficient cooperation among participating investigators for multidisciplinary oncology group tumor board.
- Initiate and respond to correspondence from referring entities, with proper signoff from the physician leader of the tumor board.
- Ensure tumor board activities meet accreditation standards and maintain necessary documentation and special projects required by the Commission on Cancer (CoC).
- Ensure compliance with all relevant regulations and standards.
- Responsible for CCC conference room scheduling and IT issues.
Miscellaneous Duties and Responsibilities
- Analyze data collection and retention systems; design and create databases.
- Serve as liaison with faculty, staff, clinical research staff and referring physicians.
- Obtain information and prepare periodic and special reports for Multidisciplinary Oncology Groups and HCCC administrators.
- Maintain effective working relationships with faculty, staff, clinical research coordinators and others.
- Perform self-initiated and miscellaneous program related research.

General Work Schedule: Monday – Friday, Hours generally worked between 6:30am-3:00pm

REQUIRED QUALIFICATIONS:
- Bachelor’s degree or an equivalent combination of education and experience.
- Some (6 months – 1 year) related administrative and program experience.
- Excellent written, verbal, and interpersonal communication skills.
- Proficient in computer software applications, internet browsers and database programs.
- Demonstrated experience with electronic patient records.
- Excellent organizational skills.
- Experience managing complex information requiring attention to detail.
- Demonstrated understanding of Medical Terminology.
- Strong organizational and time management skills.
DESIRABLE QUALIFICATIONS:
1. TNM cancer staging knowledge.
2. Basic understanding of cancer patient care process.
3. Demonstrated understanding of tumor board documentation and preparation.
4. Knowledge of University policies, procedures and regulations.
5. Demonstrated experience with EPIC.
6. Demonstrated experience with event Planning.
