Position Summary:

Iowa Health care department of Health Care Information Systems is seeking an Administrative Services Coordinator. Primary duties include providing exemplary customer service as the primary point of contact for mailroom activities, vendor deliveries, supporting a wide variety of building operations, enforcing established policies, responding to inquiries in a polite and timely manner. This position requires excellent communication skills in written and verbal format to respond appropriately and interact positively with staff and visitors. Proficiency with Microsoft computer software application and electronic record systems. Additionally, communicating and coordinating with UIOWA vehicle management for maintenance and repair of university owned vehicles. Primary work hours are 8am-2:30pm.

Position Responsibilities:

  •        Responsible for HSSB Mailroom operations.
  •        Respond to and resolve requests for information and service.
  •        Provide administrative service for department travel program.
  •        Support routine building operations, reception desk coverage and special events.
  •        Understand organizational policies and procedures necessary to ensure appropriate decision-making protocols are followed.
  •        Develop memos, communiques, and correspondence.
  •        Ensures appropriate follow-up actions are taken.
  •        Develop and maintains physical and electronic filing systems.
  •        Process procurement requisitions.
  •        Supervise 1-3 UIOWA student employees.
  •        Coordinate vehicle delivery for maintenance and repair.

Education Required

Bachelor’s degree or an equivalent combination of education and experience.

Experience Requirements

  •        6 months to 1 year administrative or support experience in a complex organization such as an academic medical center, medical school teaching hospital, or research university.
  •        Proven track record of researching, organizing, analyzing, and synthesizing data to support effective decision making.
  •        Demonstrated ability to work collaboratively across functions, levels, and departments toward shared objectives.
  •        Demonstrated organizational and project management skills.
  •        Proficiency with Microsoft computer software applications and electronic record systems.
  •        Excellent communication skills at the verbal, written and presentation levels.

Desired Qualifications

  •        Experience working in a fast-paced, rapidly changing information technology environment
  •        Strong interest and ability to quickly learn new software and business tools.
  •        Experience managing a large office building mailroom.
  •        Providing daily task direction and oversight for 1-3 employees.
