Technology & Media Services (TMS) is seeking a detail-oriented and service-focused Clerk III to serve as the primary point of contact for non-technical inquiries and provide essential operational support to the department.  Under general supervision, this role supports the daily administrative, purchasing, and coordination functions that keep TMS running smoothly. Responsibilities include managing procurement and vendor communications, tracking software licenses and renewals, monitoring expenditures and reconciling financial statements, and maintaining accurate inventory and asset records. Key responsibilities include:
•    Serve as the first point of contact for non-technical requests such as scheduling, orders, and equipment reservations.
•    Process purchases, obtain vendor quotes, track orders, and maintain service contracts and software licenses.
•    Monitor expenditures, reconcile statements, collect receipts, and bill charges to appropriate divisions.
•    Support project coordination by tracking progress and providing status updates.
•    Provide clerical support to the IT Director and TMS staff, including preparing travel documents, correspondence, and meeting minutes.
•    Maintain inventory records and support technology lifecycle planning.
•    Assist with equipment distribution and basic device setup for events.
•    Coordinate meetings, Zoom sessions, and room reservations.
•    Deliver introductory one-on-one training on the College’s electronic health record system (AxiUm) using established materials.
•    Assist with the creation and maintenance of service documentation and website content updates.

Location:  Dental Science Building (Iowa City, IA)
Salary:  $39,087.36 (Paygrade: 08)

Hours of Work:      
Monday – Friday; 8:00am – 5:00pm
May require occasional overtime.
 

MINIMUM ELIGIBILITY REQUIREMENTS:
Any combination of related clerical office experience, related undergraduate education, and/or post high school clerical training that is the equivalent to two years of full-time employment.
Desirable Qualifications:
•    Previous customer service experience providing support in a fast-paced healthcare or clinical setting.
•    Proficiency with word processing, spreadsheets, presentation, and calendaring software  (i.e., Microsoft Office or Google).
•    Experience with electronic health records, preferably Epic and/or axiUm.
•    Purchasing/procurement/vendor support experience (invoicing, quotes, shipping, tracking).
•    Experience monitoring and reconciling accounts.
•    Experience maintaining website content.
•    Knowledge and commitment to uphold federal regulations, such as the Health Insurance Portability and Accountability Act (HIPAA).
•    Demonstrated experience maintaining accurate records while managing multiple deadlines in a fast-paced environment.
•    Excellent written, verbal, and interpersonal communication skills.
