HR Coordinator - Environmental Services
The University of Iowa Health Care is looking for an HR Coordinator to enhance the operations of the division of Environmental Services at University of Iowa Health Care by providing advice and guidance to leadership and employees and performing transactions within all subject matters of human resources. Support recruitment, compliance, recognition, access, and record-keeping requirements for the division. Key areas of responsibility include HR consultation, compliance, compensation and employment, reward and recognition, communication, and selected HR transactions and maintenance of employee information. May perform other duties as assigned.
- Coordinate recruitment activities for P&S, SEIU, and merit positions. Prepare and submit requisitions in OTAC, complete external advertising, rate applicants and recommend candidates for interviews, complete phone and in person interviews as needed, submit/review reference requests, prepare offer letters, and help candidates through the hiring process
- Assist managers and leaders with development of job descriptions; recommend job classification and staffing strategy; assist with completion of hiring board request forms
- Coordinate new hire on-boarding to ensure staff have the necessary equipment and system accesses
- Support staff engagement initiatives
- Serve as an ELMS controller and assist departments with daily payroll needs
- Review and audit timecards for assigned divisions/units; ensure compliance with FLSA, University policies, and collective bargaining agreements; identify leave that may qualify as FMLA and work with HR Manager; review and address critical exceptions in ELMS
- Provide advice and guidance to managers or directors concerning job design, classification, managing staff attendance concerns, employee disputes and complaints, performance management issues, and requests for reasonable accommodations.
- Provide information and guidance regarding HR policies and procedures, state and federal regulation sand laws, Merit Rules, and union contracts
- Communicate with staff and leadership to provide basic ‘how to’ instructions and guidance regarding policies and practices such as payroll applications, compliance issues, and employment inquiries
- Assist in distributing and communicating HR updates to department leadership
- Identify opportunity to improve systems and processes, achieve efficiencies and/or improve service delivery
- Run HR reports, as needed; follow up to ensure compliance; take action to ensure compliance with laws, University policies and departmental expectations; follow up with assigned divisions/units to address outstanding compliance requirements
- Collaborate with HR Manager, Senior HR Director, and UHR Immigration Services regarding immigration documentation; follow up on all immigration documentation to ensure compliance by verifying their visa, passport, and review past immigration documentation when appropriate
- Monitor training compliance and inform supervisors of status. Update information in the CQ system as appropriate
- Maintain department HR Guidelines manual, department org chart, and phone list
Pay Level: 3B
Schedule: Monday - Friday 9:00am - 6:00pm
Required Qualifications:
- Bachelor's degree in Human Resources Management or Business Administration or related field. Or an equivalent combination of education and experience
- Minimum one-year recent (within the last 5 years) human resources experience
- Demonstrated excellent verbal and written communication and interpersonal skills
- Demonstrated proficiency with Microsoft Office and computer software applications
- Knowledge of state and federal regulations affecting human resources
- Must possess strong organizational and analytical skills and attention to detail
Desired Qualifications:
- Experience with human resources practices and processes such as recruitment, performance management, compliance, FLSA, FMLA/ADA, and administrative human resources functions
- Working knowledge of state and federal regulations affecting human resources
- Ability to be organized, flexible and multi-task in a high volume and fast paced environment
- Experience working with UI Health Care HR Systems such as Compliance & Qualifications (CQ), ELMS, ERMA, HRIS, etc.
- Knowledge of University of Iowa Health Care’s policies, procedures, and regulations
