Immigration Coordinator
The Immigration Administrative Coordinator plays a vital role in supporting the success of University Human Resources by performing key administrative functions for Faculty and Staff Immigration Services. Core responsibilities include managing incoming and outgoing mail and packages, maintaining and updating records in the HRIS database, and serving as a liaison between University of Iowa hiring departments and University Shared Services to facilitate accounting transactions.
This position also supports immigration casework by preparing preliminary and post-filing memos for cases managed by external legal counsel, reviewing client-submitted documents for completeness, and maintaining both paper and electronic case files. The coordinator serves as a licensed user and primary contact for the eImmigrationAir software platform, ensuring accurate data entry and case tracking.
Additional duties include responding to general inquiries or routing them to the appropriate contacts, supporting special projects as assigned, and ensuring all tasks are completed with a high degree of confidentiality, accuracy, and independent judgment. Proficiency in a variety of software platforms—including eImmigrationAir, Adobe, Microsoft Outlook, Microsoft Office Suite, and SharePoint are essential.
Job Duties and Tasks
Download and save client documents from eImmigrationAir to client’s e-file and review documents for completeness; reach out to client to collect missing documents as needed
Review and approve questionnaires completed by clients in eImmigrationAir
Request credential evaluations for new H1B cases from The Evaluation Company, LLC, as requested by caseworkers
Review H1B petitions for signatures, scan, and save to client e-file before filing with the USCIS
Serve as a licensed user and primary contact for eImmigrationAir Software- send mail notices and documents to employees and hiring departments and contact Cerenade when software is experiencing technical issues
Manage PCard purchases and complete required UI reconciliation
Serve as liaison between UI Hiring Departments and University Shared Services to reconcile USCIS filing fee charges, FedEx charges, advertisement charges, internal CV transfers, UNI charges, and Morningside Credential Evaluation charges from FSIS PCard using MFK’s designated by specific hiring department(s)
Maintain HRIS FSIS database for all active, inactive and terminated cases (H1B, H4, TN, TD, O1, E3, EB1, PERM, I-140, AOS)
Handle sensitive information and maintain confidentiality
Advise clients on which documents to bring for international trips and visa stamping appointments
Inform clients and hiring departments of next steps upon case arrival (i.e.: picking up packet, completing an I-9)
Notify departments of H1Bs that will expire 7 months prior to the current H-1B end date to initiate extension cases; Follow up with departments as needed

Education or Equivalency Requirement
Bachelor’s degree in Business Administration or an equivalent combination of academic credentials and relevant professional experience.
Required Qualifications
Six to twelve months of experience providing administrative support within a dynamic, multifaceted, and compliance-driven environment
Excellent communication (verbal and written), organizational, and time management skills
Demonstrated experience in providing superior customer service
Experience in managing multiple tasks simultaneously, including the ability to prioritize time sensitive tasks
Demonstrated exceptional attention to detail, planning, and follow-up skills
Demonstrated ability to develop and strengthen working relationships with a variety of populations, including internal and external constituents, through positive interaction and collaboration
Proficient in Microsoft Office Suite (Word, Excel, Power Point, Outlook) and other computer software applications
Desirable Qualifications
Positive interpersonal skills
Knowledge of University of Iowa policies, procedures, and regulations
Knowledge of U.S. employment-based immigration laws and regulations
Experience in program/service development or quality improvement projects
Demonstrated independent thinking skills to develop alternative solutions and solve problems
Experience with accounting processes, budgets and productivity data
